COMMERCIAL PROPERTY MANAGER FOR SAN CARLOS, CALIFORNIA
SUMMARY OF DUTIES:
The Commercial Property Manager is responsible to serve as the onsite Property Manager for certain assigned properties. Collaborate with other Asset Management and other onsite staff in tracking the operational and financial performance of their assigned portfolio. Assist in the preparation of reports to senior management, lenders, and regulators, as the case may be.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned as required.
- Review and study leases for each property to gain full insight of tenant vs. landlord responsibilities.
- Oversee leasing operations, and handle tours as a team with APM
- Serve 3\-Day Notices and follow up with delinquent accounts weekly. File evictions as necessary with Asset Management approval.
- Review and study leases for differences such as multiyear leases, and CPI index increases, and identify differences in each lease as it pertains to gross, industrial, retail, commercial, NNN, etc. Familiarize all verbiage, and lease protocol either tenant or property\-specific
- Review in\-depth financials of each property
- Perform variance report monthly for a full understanding of operating expenses
- Ensure vendor contract standards and expectations for each property are being met
- Set clear, concise, specific guidelines for APM, vendors, and maintenance
- Analysis of market survey, surrounding properties, familiarity and establishing rapport with brokers and affiliates.
- Review compliance of all buildings.
- Ensuring and reviewing preventative maintenance plans for all buildings.
- Identify all costs, and ensure we are optimizing resources to generate maximum revenue
- Obtain additional quotes for recurring costs of each property that could save the portfolio money and maximize NOI\- APM to aid as directed by PM.
- Create Budget forecast for the portfolio.
- Review of Common Area Maintenance (CAM) charges.
- Implementation of CAM template/spreadsheet once information is reviewed and gathered
- Capital improvement review/analysis/forecast.
- Track capital expenses of each property.
- Oversight, identification, communication, and resolution of complex tenant issues where financial or legal matters arise.
- Performing weekly visual inspections of all assets in the portfolio, identifying areas of needed improvement, creating suggestions, and offering ideas or advice for projects pertaining to the longevity of assets.
- Review compliance of all leases and files to Yardi and company\-managed software / servers.
- Review compliance of vendor insurance
- Review systems/technology in place, additional software components, propose effective solutions for administrative internal processes that would save time and money.
- Effective communication with asset management on all current projects and pending items within the portfolio and statistical presentation of all above monthly analyses.
- Touring spaces with prospective tenants in the absence of APM.
- Conduct Move\-in/Move\-out inspections in the absence of APM.
- Approve closing statements (primary).
- Responsible for the day\-to\-day operations and maintenance of assigned properties. Maintain onsite management office.
- Negotiate, execute, and monitor, under the direction of Asset Management staff, all necessary vendor contracts for the assigned properties
- Assist tenants with needs/questions and address any concerns
- Monitor and follow\-up on collections, evictions, aged delinquencies. Administer delinquent receivable collections and coordinate appropriate legal actions to collect delinquent funds and to gain possession of delinquent tenants’ units.
- Perform market surveys, monitor and adjust rates, discuss rates/trends/leasing activity with brokers, property managers, and senior management.
- Prepare Quarterly Market Performance Report (Turnover Report) for the portfolio.
- Input pertinent data in monthly draft of lease renewal report.
- Accounts receivable, including processing rent payments from scanning, assigning, and applying to Yardi from Rentpayment.com.
- Monitor Third party leasing vendors including checking their website for accurate availability.
- Lead Spring/Fall property tours with senior management. Address items noted during tour.
- Oversee capital projects and property maintenance/repairs
- Oversee tenant improvement projects (if any). Ensure appropriate paperwork completed (permits, owner approval, notice of non\-responsibility, etc.)
- Approve and sign vendor contracts.
- Conduct weekly property walks.
- Supervise APM and direct two maintenance staff.
- On Call 24/7 for emergency and urgent matters that cannot wait till next business day
- Prepare weekly Flash report
- Provide timely and professional response to tenant requests
- Plan and conduct tenant events, as requested by Management
- Assist tenants with needs/questions and address any concerns. Serve as the property\-level contact for the Company
- Participate in special projects periodically assigned by Management
- Regularly inspect for safety and curb appeal during property visits
- Provide regular written and oral status reports plus ad hoc reports on request
- Monitor enforcement of Company policies and report deficiencies, if observed
- Attend relevant industry and professional conferences and classes on request
- As\-needed tasks and special projects as directed by Asset Manager
- Maintain the confidentiality of all Company procedures
- Follow all Company Policies and Procedures
- Comply with all Company training requirements
- Maintain safe working environment
- 4\-year college degree preferred.
- Minimum eight years’ experience in real estate property management.
- The candidate must be well acquainted with compliance and regulatory issues, especially as regards the light\-industrial industry.
- Strong organizer and planner who sets goals and conveys them effectively, who can motivate and be an example to others.
- Ability to work well within a team, who will treat the assets under management as his/her very own.
- Excellent written and oral communication skills are required.
- Detail\-oriented, a learner and problem\-solver with an active, curious intellect.
- Provide solid references.
- Must possess a current California Real Estate Broker’s License or Real Estate Salesperson’s License.
- A current and valid California driver’s license is a requirement of the job.
