We are an established engineering and valuation firm providing expert witness services to attorneys and clients nationwide. We are looking for a reliable, detail\-oriented administrative professional to support our principal and help keep the business running smoothly — handling invoicing, scheduling, file organization, correspondence, and a steady mix of recurring administrative work. This is a hybrid part\-time role based in Franklin, TN, combining in\-person work with remote flexibility.
What you'll do
The role is broad and will grow with the right person. Day\-to\-day responsibilities include:
* Billing and invoicing: Generate client invoices from timesheets and engagement agreements, follow up on outstanding timesheets, match incoming payments to invoices, and keep our billing records organized for handoff to our bookkeeper and CPA. Familiarity with QuickBooks is a plus but not required.
* File and document management: Organize incoming case files from clients, scan and digitize physical documents, and maintain a clear, searchable filing system for active and archived matters.
* Mail and correspondence: Handle incoming mail, draft routine professional correspondence in Microsoft Word and email, and serve as a polished first point of contact when needed.
* Calendar and scheduling: Coordinate meetings, depositions, site visits, and travel arrangements across multiple parties.
* Recurring administrative tasks: A range of ongoing items that keep the business running smoothly. As one example, tracking our engineers' professional licenses across multiple states — monitoring renewal deadlines, completing applications, and keeping records current. Many similar recurring items fall into this category.
* General office support: Ad hoc projects and tasks that keep the principal focused on client work.

* Conscientious and reliable. When you say something will get done, it does — and you build the systems (checklists, calendars, reminders) to make sure nothing slips.
* Comfortable with administrative systems. Government portals, court and agency websites, and clunky online forms don't slow you down. You can navigate imperfect systems patiently and accurately.
* Detail\-oriented with numbers. You can match a check to an invoice, spot a missing timesheet, and catch a typo in a dollar amount.
* A clear professional communicator. Your written email is polished. You can follow up firmly and politely.
* Discreet. Our work is confidential, and signing an NDA on day one will be a matter of course.
* Self\-directed. Once you understand a process, you run with it. You ask good questions when you don't.
Background that tends to fit well
This role would suit someone with prior experience as a legal secretary, paralegal, executive assistant, medical office administrator, compliance coordinator, or similar professional administrative role. We don't require prior experience in engineering or accounting — those tasks are learnable, and we'll train you on the specifics of our work. We do require that you have demonstrably handled professional administrative responsibilities at a high standard before.
Logistics
* Hours: Roughly 20–25 hours per week to start, with flexibility on scheduling. Potential to grow.
* Location: Hybrid. Some tasks (file organization, scanning, mail) require working on\-site in Franklin; much of the rest can be done remotely.
* Compensation: $24–34 per hour depending on experience. W\-2 employee.
* Start date: As soon as we find the right person.
