Career Summary:
The American Nurses Enterprise (ANE) is seeking to hire a Pathway Program Specialist.
The Pathway Program Specialist plans, directs, and coordinates activities associated with the Pathway to Excellence Program ®. Develops and manages assigned client relationships in a manner consistent with policies and procedures. Schedules and facilitates program support meetings. Ensures timely completion and distribution of required documentation. Monitors the implementation of all contractual obligations to ensure compliance with applicable agencies. Prepares and assists in review of monthly status reports, test plans, design data books, and process and material specifications as required. Plans and coordinates meetings on project timing, goals, and budget to ensure fulfillment of internal and customer expectations and compliance with policies and contractual requirements. Provides key financial data to the Program Manager on a timely basis. Creates, maintains, and updates assigned program schedules for contract deliverables and key events. Assists in the creation of presentations outlining the program's strategies, products, and results associated with internal goals. Communicates findings and recommendations on critical initiatives to clients and internal parties. Assists in managing or leading special projects associated with the program and assigned clients. Builds and maintains an accurate client database. Communicates with clients and management to resolve program issues. Serves as the direct point of contact for clients. Supervises, manages, and provides operational guidance to direct staff, including providing necessary skills training. To provide independent logistical support for the Pathway to Excellence Recognition Program® (also referred to as Pathway) as specialist to applicants, commissioners, appraisers, Pathway organizations, key stakeholders, and Pathway Program office staff. To serve as a key point of contact for anyone requesting information about the Pathway to Excellence Recognition Program.

What You Will Do:
- Receives, processes, and prioritizes requests for products and services. Receives, screens, and prioritizes mail, Pathway email inboxes, telephone calls, and other requests. Determines nature of request and handles independently or directs correspondence to appropriate alternate contact. Responds to inquiries and shares information using appropriate and succinct verbal and written communication skills. Coordinates correspondence, ensuring that accurate information is included.
- Receives, handles, and transmits highly confidential messages, information, and materials in a suitable manner to maintain and safeguard confidentiality, and the credibility of the program.
- Executes quality control check of diverse Pathway materials including but not limited to materials sent to the CNOs and PPDs and other key decision\-makers of applicant and Pathway facilities, Pathway Appraisers, Pathway Commissioners, and other key stakeholders involved in the Pathway journey. Coordinates calls between team members and designating/applicant organizations.
- Specialist updates organizational files, creates and maintains spreadsheets and databases, and maintains all Pathway platforms including but not limited to OARS, Pathway Learning Community (PLC), Personify, website/Epi, NetSuite, as appropriate, to monitor products and services. Point of contact for the PLC maintenance and updates. Establishes, maintains, and oversees data management systems, electronic and hard data files and other records for the program. Implements ongoing improvements for systematic record\- and file\-keeping functions; ensures files are complete and up to date.
- Performs information management functions to compose and distribute information relevant to the programs’ volunteers, committees, customers, applicants, and others. Ensures accurate data entry and presentation of outcome data for the Commission on Pathway and the ANCC Board of Directors. Prepares graphic displays of data gathered from a variety of information sources. Communicates with various departments within the enterprise and collaborate to ensure attainment of common goals.
- Specialist coordinates and monitors the activities of organizations during the various stages of the Pathway application process, requiring highly developed organizational and tracking skills for consistent accuracy and quality.
- Collaborates with the enterprise to facilitate the application process, including but not limited to Finance, Office of General Counsel, Operations, IT, Purchasing, Customer Care, and the Webmaster. Follow up as needed to ensure desired outcome. Communicates with various stakeholders both internally and externally to communicate designation status, including State Nurse’s Associations. Follow up as needed to ensure desired outcome. Archives the final storage of all written documentation including but not limited to packaging of documents, inventory of documents going to storage, and the timing of delivery of the documents to the off\-site storage vendor.
- Develops and maintains processes for trending and tracking revenues and expenditures for compliance with the budget for Pathway to Excellence program. Collects and verifies the accuracy of financial information including but not limited to budget expenditures, invoices, purchase orders, reimbursement requests, and travel expenses. Follows up on all accounts receivables and accounts payable for the Pathway to Excellence program. Represents the Pathway to Excellence Recognition Program® at the annual Pathway conference, and other presentations to the ANCC and ANA boards, new hires, special interest groups, etc.
- Coordinates schedules and logistics for all meetings. Distributes meeting agendas. Records and distributes meeting minutes electronically. Attends meetings of these groups as needed, Arranges for meeting space and other logistics with specified departments, reservations, and function set\-up, seating arrangements, audio\-visual requirements, meals, and hospitality, as needed for all program functions including the Pathway conference. Handles housing and travel arrangements of the volunteers. Disseminates information to and between the Director and internal and external stakeholders to ensure that all are fully informed about matters of mutual concern. Prepares itineraries, agendas, and advisory memos to ensure logistical support for assigned areas of responsibility.
- At least two to three years of Administrative/Office Assistant experience; as well as experience using current, in\-use presentation, word\-processing, Microsoft programs, database, and spreadsheet software. Experience handling multiple competing priorities and concurrent task coordination.
- Ability to skillfully operate software within the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently as well as with a team. Flexibility is required, as is the ability to work independently without close supervision.
- Ability to coordinate and follow through on several projects concurrently and ability to perform multiple requests/projects and prioritize workload.
- Ability to maintain confidentiality with all information pertaining to the Pathway to Excellence Recognition Program as well as its commissioners, appraisers, and applicant facilities.
- Ability to maintain the strict timeline of schedules outlined for the application process. Ability to maintain computerized files and databases is mandatory.
- Critical thinking, analytical and problem\- solving skills; advanced organizational skills.
- Ability to express ideas concisely in both oral and written form. Editorial and grammatical accuracy are mandatory.
- Ability to interact fluently with ANA members, high level professionals, national leaders, international leaders, and the public.
Responsible for maintaining a current knowledge base regarding the requirements for International Standards Organization (ISO) registration. Accountable for compliance and continued quality management as required by ISO registration. Maintains customers records to ensure ISO compliance.
