Duties

  • Greet visitors, answer multi\-line phone systems, and manage front desk responsibilities with professionalism and warmth
  • Handle data entry, filing, and document proofreading to maintain accurate records and support office workflows
  • Manage calendar scheduling, appointment setting, and coordinate meetings using tools like Google Workspace and Microsoft Office
  • Provide exceptional customer service by assisting clients, vendors, and team members promptly and courteously
  • Support bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records
  • Maintain office supplies inventory, organize files, and oversee general office management tasks to promote efficiency
  • Assist with clerical duties such as typing correspondence, preparing reports, and managing email communications
  • Qualifications

  • Proven experience in office management or administrative support roles with strong clerical skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Excellent phone etiquette and ability to handle multi\-line phone systems confidently
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with keen attention to detail and time management capabilities
  • Prior experience as a receptionist or personal assistant is advantageous; experience in medical or dental reception is a bonus
  • Demonstrated computer literacy with the ability to perform data entry, proofreading, filing, and calendar management efficiently
