SUMMARY:
The TANF Administrative Assistant/Driver provides administrative support and transportation to TANF Program clients. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed and delivered with accuracy, high quality and in a timely manner. Works closely with the Transportation Coordinator to ensure program compliance with transportation needs. Drives TANF vehicles to transport clients for special events and/or workshops related to the provision of TANF services. Performs related work as required or assigned. The employee is required to use judgment in applying general policies and procedures.
DUTIES AND RESPONSIBILITIES:
Although other duties may be assigned, the essential duties include the following:
- Responsible for handling front office reception and correspondence. Answers phones, e\-mails and processes incoming calls and communications.
- Assist with all front office and administrative assistant duties including: copying, collecting documents, participant check distribution, record keeping, filing, compiling meeting minutes/reports, collects invoices for billing, data entry and routine correspondence with staff and participants, front office organization of forms, flyers, resources, etc.
- Research and process participant referral requests as needed.
- Organize and maintain files. Implement methods for tracking files and safekeeping.
- Process incoming/outgoing mail (prepare mail for the postal service, courier or overnight service).
- Obtain and track office sign\-in sheets and participant attendance records.
- Maintain inventory and order office supplies as needed.
- Schedule appointments and intakes for incoming clients.
- Assist with program recruitment as needed.
- Assist with supervising youth activities/workshops.
- Acts as a driver for the TANF Program
- Obtains and tracks vehicle mileage logs, gas logs and all other records pertaining to transportation.
- Assists with maintaining TANF vehicles and maintenance as assigned.
- Follows all TANF policies and procedures for the transportation of TANF participants.
- Provides transportation to TANF Families and at\-risk participants.
- Conducts all pre/post trip vehicle inspection procedures.
- Works with the transportation coordinator to establish routes and schedules to needed services within and outside of local communities, and develops schedules as needed.
- May perform all other duties as assigned/needed.
- High School Diploma or equivalent.
- One (1\) year of work experience or training, which demonstrates the ability to perform the duties of the position.

- Establish and maintain effective working relationships with employees, other agencies and the public.
- Communicate effectively verbally and in writing.
- Safely drive a TANF passenger vehicle.
- State and Federal regulations pertaining to operating vehicles.
- Work with the public and hard to serve populations.
- Good driving record.
- CPR/First Aid and Medical Certificate.
- A current California Driver’s License.
- Employees will be subject to unannounced alcohol and drug testing as a condition of continued employment.
