Objective
Provide high\-level executive administrative support to three C level executives (CMO, CRO, and CSO), acting as a strategic partner and primary point of contact for internal and external stakeholders. This role ensures effective coordination of executive priorities, calendar management, communications, and special projects while maintaining confidentiality, operational excellence, and alignment with business objectives.
Position Requirements
Education: Bachelor’s degree or equivalent experience in Business Administration or related field
Experience: 5–10 years of experience supporting multiple C\-level executives in a fast\-paced, high\-demand environment
Language: English Advanced, Spanish: Required
Key Job Accountabilities
- Executive support \& strategic coordination across CMO, CRO, and CSO offices. Eventually provide support to the VP’s that report to those C level positions
- Complex calendar, travel, and priority management across multiple executives
- Stakeholder management and liaison with internal teams and external partners
- Coordination and execution of executive meetings, communications, and events
- Special projects and operational support aligned with executive priorities
- Manage complex and dynamic calendars across multiple executives, prioritizing critical business needs.
- Coordinate domestic and international travel logistics, including itineraries, agendas, and expense reports.
- Serve as primary liaison between executives and internal/external stakeholders (customers, agencies, auditors, vendors)
- Prepare, edit, and manage high\-quality presentations, reports, and executive communications
- Organize and coordinate executive meetings, leadership sessions, and offsite events
- Track and follow up on key projects, ensuring deadlines and deliverables are met
- Handle sensitive and confidential information with discretion and sound judgment
- Support legal and financial documentation processes, including contracts and approvals
- Anticipate executive needs and proactively resolve scheduling or operational conflicts
- Provide backup support to other Executive Assistants when required
