Overview

We are seeking a dependable and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the first point of contact for our clients, providing exceptional customer service while efficiently managing administrative tasks. Your energy, professionalism, and attention to detail will help ensure our office runs smoothly and efficiently. This position offers an exciting opportunity to develop your office management skills in a fast\-paced environment where your contributions truly make a difference. This position is with a small, local, CPA office. NO REMOTE WORK

Duties

  • Greet clients warmly, direct them appropriately, and ensure a positive first impression of the organization
  • Manage multi\-line phone systems with professionalism, answering inquiries and routing calls effectively
  • Handle incoming and outgoing correspondence, including emails, mail, and packages
  • Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy
  • Schedule appointments, manage calendars, and coordinate meetings using Google calendar
  • Support bookkeeping tasks using QuickBooks or similar accounting software as needed
  • Assist with general office management duties such as filing, making copies of documents, ordering supplies, maintaining office equipment, and supporting team members with administrative needs
  • Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills. Must be able to multi\-task through out the day
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word and Excel). Must have experience with a typewriter and 10\-key.
  • Prior experience with multi\-line phone systems and phone etiquette is essential
  • Strong customer service skills with a friendly demeanor and professional communication style
  • Ability to handle data entry accurately and efficiently while managing multiple priorities
  • Knowledge of office management procedures such as filing, proofreading, calendar management, and time management techniques
  • Basic bookkeeping skills including familiarity with QuickBooks, Clockify or similar software are preferred
  • Must be available and willing to work additional hours of overtime during deadlines
