Responsibilities
- Greet visitors warmly and professionally, providing excellent customer service at all times
- Manage multi\-line phone systems, directing calls accurately and courteously
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Maintain organized filing systems, data entry records, and office supplies inventory
- Support appointment scheduling and calendar management for staff members
- Assist with clerical tasks such as proofreading documents, managing spreadsheets in Microsoft Office and Google Workspace, and preparing reports
- Ensure the reception area remains tidy, welcoming, and professional at all times
- Proven experience in office management or administrative support roles with strong clerical skills
- Excellent phone etiquette with experience handling multi\-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook, Teams), Google Workspace (Docs, Sheets), and data entry tools
- Strong organizational skills with keen attention to detail for proofreading and filing tasks
- Ability to manage time efficiently while juggling multiple responsibilities in a fast\-paced environment
- Experience in customer service or customer support roles with a focus on professionalism and positive communication skills
- Knowledge of EMA or EMR systems and experience is a plus for handling basic financial tasks
- Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
