Position Summary
The Project Assistant provides critical support to both the Administration and Programs departments at Family Promise of Las Vegas. This position ensures accurate financial processing, assists with program operations, and provides administrative support across the organization. The Project Assistant plays a vital role in maintaining accurate records, supporting grant compliance, communicating with vendors, and helping staff deliver quality services to families in need.
Key Responsibilities
Finance Department Support
- Enter daily financial transactions into QuickBooks, including deposits and invoices.
- Prepare and print checks for monthly expenses (with required director signature).
- Run monthly financial reports for staff and leadership review.
- Assist the Finance Director in preparing and submitting grant reimbursement requests to local jurisdictions, federal, and private funders.
- Maintain and update the online payroll system bi\-weekly.
- Assist with monthly bank and credit card reconciliations.
- Communicate with vendors to ensure compliance, maintain current contracts/agreements, and verify timely payments.
- Carry out additional duties as assigned by the Finance Director.
- Assist with the preparation of monthly grant reimbursements.
- Assist with document retrieval, retention, and filing.
- Support programs and operations staff with administrative and project needs.
- Prepare data reports for staff and leadership as needed.
- Monitor, screen, and prioritize incoming communications (phone, email, mail).
- Assist with reception desk coverage as needed.
- Develop and maintain both electronic and paper filing systems for ease of access to important documents and records.
- Order office, program, and facility supplies as requested.
- Call/email and schedule vendors for facility maintenance, repairs, and inspections.
- Track invoices related to facility and operational expenses.
- Assist with special projects and events, providing logistical and administrative support.
- High school diploma required; associate’s degree in accounting, Business, or related field preferred.
- 1–3 years of bookkeeping, accounting support, or nonprofit finance experience preferred.
- Knowledge of accounts payable, accounts receivable, and basic accounting principles.
- Experience with QuickBooks or similar accounting software preferred.
- Strong attention to detail and organizational skills.
- Ability to handle confidential information with integrity and discretion.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Ability to work independently while maintaining strong communication with supervisors.
- Ability to manage multiple tasks and prioritize effectively.
- Strong written and verbal communication skills.

- Timely and accurate entry of all financial transactions and payroll processing.
- Completion of grant reimbursement requests and reports within funder deadlines.
- Efficient and organized filing systems are maintained.
- Responsive and effective support provided to staff across departments.
- Positive feedback from Finance Director and program staff regarding support and collaboration.
- Primarily on\-site at the Family Navigation Center.
- Standard weekday business hours with flexible scheduling on weekends. May be required to work weekends, opening, or closing shifts.
