General Definition: The administrative assistant will be responsible for providing administrative support to the Executive Department and Corporate Sales. This role will include working closely with our leadership team by handling clerical duties, coordinating calendars, organizing and documenting meetings, performing data entry, maintaining files, and working on specialized projects.
Essential Job Functions:
- Schedule appointments and meetings on as needed basis.
- Preserves confidentiality of files and information.
- Organizes assignments in order to maintain the greatest efficiency in the completion of assignments.
- Composes correspondence, memorandums, e\-mails, reports, and miscellaneous documents using Microsoft Office and other products.
- Prepares outgoing mail, files correspondence, and other departmental records and reports.
- Interfaces with all operational and support departmental staff as well as outside agencies and vendors, in a courteous, appropriate manner.
- Responds to letters, items of concern, and/or inquiries promptly and politely in accordance with departmental policies and procedures.
- Attends meetings as required, records the minutes, types them later, and distributes the meeting minutes.
- Prepares documents and reports regarding monthly, quarterly, and/or annually for operational matters as directed, distributing in a timely and accurate manner.
- Maintains Retail stockroom and retail merchandise displays.
- Monitors inventory levels, invoice entry, and point of sale input.
- Perform all other duties as assigned.
- Bachelor’s Degree preferred.
- Minimum of 2–3 years of administrative, executive support, or office coordination experience, preferably in a corporate or fast\-paced environment.
- Demonstrated experience supporting senior leadership, including calendar management, meeting coordination, and handling confidential information.
- Proven experience in preparing professional correspondence, reports, and presentations using Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience with data entry, recordkeeping, and file management systems with a strong emphasis on accuracy and organization.
- Prior experience coordinating meetings, taking minutes, and tracking follow\-up action items.
- Experience working cross\-functionally with internal departments and external vendors in a professional and customer\-service\-oriented manner.
- Familiarity with inventory tracking, invoice processing, or point\-of\-sale (POS) systems preferred.
- Experience managing multiple priorities, deadlines, and special projects with minimal supervision.
- Strong computer skills to include effective working knowledge of Microsoft Office Products such as Word, Excel, PowerPoint, Outlook, etc.
- Knowledge of point\-of\-sale systems.
- Strong written and oral communication and leadership skills required.
- Strong attention to detail.
- Ability to understand and extract pertinent information from data relevant to solving problems; deal with a variety of situations where only limited standardization exists, and work independently.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Knowledge of applicable federal, state, and/or regulatory agency reporting requirements regarding security.
- Ability to work a flexible and irregular schedule, including weekends, evenings, and holidays. Ability to travel to the assigned daily work duty station as needed.
- Ability to enter a smoke\-filled environment as needed
- Previous experience in an administrative role preferred
- Must be able to pass Title 31 Training
- Must be able to pass a background check and receive a license or permit from any Regulatory Agency, if applicable, to perform the essential job functions
- Must be able to complete a pre\-employment drug test with a negative result
- Must possess and maintain a valid driver’s license to perform job\-related travel.
