Position Summary
The Church Administrative Assistant provides organizational, communication, and administrative support to ensure the smooth and effective operation of the church. This position is primarily remote, with two required mornings per week onsite for in\-person coordination and support.
The ideal candidate is organized, detail\-oriented, technologically comfortable, and able to manage multiple communication platforms while maintaining confidentiality and professionalism. Reports directly to the pastor and church board. Is a team player, flexible, and positive. This person understands that the position is to support Bryan Community Church live into its mission to Love God, Love People, and Share Hope.
Schedule \& Work Environment
- 20–25 hours per week
- Primarily remote work
- Two consistent weekday mornings onsite (to be determined)
- Availability to respond to phone calls during agreed\-upon hours
- Flexible scheduling outside of required onsite hours
- Create and distribute weekly church email communications
- Design and publish church newsletters (print and/or digital); worship slides; and other communication platforms
- Create and schedule social media posts
- Coordinate with website volunteers to ensure website updates are current and accurate
- Answer church phone calls using a designated portable church cell phone
- Respond to general email inquiries in a timely and professional manner.
- Run church errands and make special deliveries as needed. Must possess a working vehicle and valid drivers license (will receive mileage reimbursement).
- Assist in the planning and execution of church events (i.e. egg hunts, fall festival, community outreach events, etc.)
- Maintain and coordinate the master church calendar
- Coordinate church facility usage with internal ministries
- Prevent scheduling conflicts and ensure accurate room reservations
- Communicate calendar updates to appropriate staff and volunteers
- Maintain accurate and up\-to\-date membership records
- Record baptisms, deaths, and other vital church records
- Create and distribute baptism and confirmation certificates
- Maintain and update the church directory
- Oversee Planning Center database with accuracy and organization
- Coordinate cleaning schedules with custodial staff or contractors
- Provide administrative support for church leadership as requested
- Ensure systems and files (digital and physical) are organized and maintained
- Assist with special projects, purchase ministry resources, submit and record receipts, and work special events as needed.
- Other duties as assigned.
- A Bachelor of Arts or significant and relevant work experience
- Strong organizational and administrative skills
- Proficiency with email platforms, document creation, and basic graphic design tools (e.g., Canva or similar)
- Experience with church management software (Planning Center preferred)
- Ability to manage multiple deadlines independently
- Strong written communication skills
- High level of discretion and confidentiality
- Comfortable working both independently (remote) and collaboratively (onsite)
- Previous church administrative experience
- Familiarity with church communication rhythms and seasonal cycles
- Experience managing social media for an organization
- Reports to senior and administrative board
- Participates in regular check\-ins with senior pastor
