Healing, Empowering \& Learning Professionals (H.E.L.P.) LLC is a consulting company that provides culturally responsive counseling, psychological, case management and assessment services to children, youth, and adults at schools and social service agencies. The Office Administrator reports to H.E.L.P.’s co\-owner and Chief Clinical Officer and is responsible for serving as a key resource for the office operations.
Part\-time (25 to 30 hours) Responsibilities:
- Serve as a receptionist at the outpatient office and virtual assistant
- Answer phone, receipt copayments, take messages \& return calls
- Coordinate the purchase and maintenance of office equipment
- Manage incoming and outgoing mail, packages, and deliveries
- Coordinate testing referrals from various contractors
- Verify insurance benefits and perform billing and bookkeeping duties
- Work with HELP Owners to refine and administer office policies and procedures
- Maintain office records, including office expenses
- Stock and distribute office supplies
- Schedule meetings and appointments
- Review, track and maintain client records and databases
- File and maintain general office tidiness
- Manage office technology and website
- Clerical scoring of tests and inventories
- Report preparation and proofreading
- Run errands and perform miscellaneous job\-related duties as assigned

Qualifications:
The successful candidate has superior organizational skills, is self\-motivated, resourceful, and detail\-oriented. Must be a team player and have outstanding editing, data entry, and proofreading skills. Excellent communication and interpersonal skills, and the ability to prioritize and handle multiple projects are essential. Must be proficient in Microsoft Office applications, Google applications (e.g., Gmail and calendar functions), and willing to work with PC compatible operating systems. Bachelor’s degree and at least two years of experience in an administrative capacity is desirable. Understanding of and experience in a healthcare, social service or non\-profit organizational setting is preferred.
