The Executive Assistant serves as the CEO’s liaison to senior management teams; organizes and coordinates executive outreach and external relations efforts, oversees special projects, and handles financial tasks such as bookkeeping, invoice management, and reconciliations. Must be detail\-oriented, extremely fast at solving problems, and able to work independently.
Responsibilities:
- Complete broad variety of administrative tasks that include managing an active calendar, preparing reports, emails and other documents
- Filing and retrieving records, documents and reports
- Researching and conducting data to prepare documents for review and presentation
- Helping prepare for meetings
- Greeting visitors and deciding if they should be able to meet with executives
- Using various software, including word processing spreadsheets, databases and presentation software
- Reading and analyzing incoming memos, submissions and distributing them as needed.
- Performing office duties that include ordering supplies and managing records database
- Experience as a virtual assistant
- Opening, sorting and distributing incoming faxes, emails and other correspondence.
- Provide general administrative support to the Office Manager as directed
- Filter and manage communication through email
- Coordinate travel and transportation
- Strong interpersonal skills and the ability to build relationships with staff.
- In\-depth understanding of MS Office suite
- High school diploma or equivalent
- Ability to organize daily workload by priorities
- Must be able to meet deadlines in a fast\-paced quickly changing environment
- Proactive approach to problem\-solving with strong decision\-making skills
- Excellent writing editing, grammatical, organizational, and research skills

Physical Requirements:
Long stretches of time sitting using a computer, extended periods of time reading a computer screen, walking up and downstairs, repetitive motion for data entry (typing/clicking). Ability to sit or stand for extended periods of time listening to speakers. Ability to lift boxes up to 40lbs. Ability to drive to various locations for meetings.
