Responsibilities
Coordinate and manage scheduling for team members, meetings, and events to ensure optimal time utilization.
Oversee vendor relationships, including onboarding, communication, and contract management to maintain seamless partnerships.
Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record keeping.
Support human resources functions such as onboarding new staff, maintaining personnel records, and assisting with payroll processing.
Handle administrative duties like filing, data entry, managing multi\-line phone systems, and maintaining organized records.
Manage office supplies and equipment inventory remotely to ensure operational readiness at all times.
Facilitate event planning for team meetings or company initiatives to promote engagement and collaboration.
Experience
Proven experience in office management or administrative roles with a focus on operations coordination.
Supervising experience is preferred to oversee team activities effectively.
Familiarity with QuickBooks or other bookkeeping software is highly desirable.
Strong organizational skills with the ability to manage multiple calendars and schedules efficiently.
Experience in vendor management and contract negotiations to foster productive partnerships.
Background in human resources or medical office management is a plus but not required.
Excellent communication skills coupled with professional phone etiquette for interacting with internal teams and external partners.
Prior experience handling clerical tasks such as filing, front desk responsibilities, and managing multi\-line phone systems.
