Job Overview

We are seeking a dynamic and highly organized Office Administrative \& Accountant Assistant to join our team in the trucking and transportation industry. This vital role ensures the smooth operation of daily office functions while providing exceptional support to staff, clients, and visitors. Key Responsibilities

  • Greet visitors professionally and manage front desk operations.
  • Handle incoming calls, emails, and customer inquiries in English and Spanish.
  • Manage multi\-line phone systems and provide outstanding customer support.
  • Perform data entry, maintain organized filing systems, and proofread documents for accuracy.
  • Assist with
  • Accounts Receivable (A/R) and Accounts Payable (A/P).

  • Prepare invoices, reconcile accounts, and assist with end\-of\-month reports.
  • Utilize
  • QuickBooks for financial recordkeeping and bookkeeping tasks.

  • Support office operations, including supply ordering, scheduling, and inventory control.
  • Coordinate appointments and ensure smooth day\-to\-day office functions.
  • Assist with clerical duties such as scanning, copying, and managing correspondence.
  • Compile, create, and reconcile group accounts as needed.
  • Qualifications

  • Minimum of
  • 1 year of experience in office administration, bookkeeping, or clerical roles.

  • Proficiency in
  • QuickBooks and Microsoft Office Suite (Word, Excel, Outlook).

  • Familiarity with
  • Google Workspace is a plus.

  • Strong understanding of accounting principles, including A/R and A/P.
  • Excellent verbal and written communication skills.
  • * Bilingual in English and Spanish (Required).

  • Strong organizational, multitasking, and time\-management skills.
  • High attention to detail and ability to work in a fast\-paced environment.
  • Reliable transportation to Medley, FL.
  • * Must be legally authorized to work in the United States.

  • Previous experience supporting office management or personal assistant duties is a plus.
  • Work Schedule

  • Full\-Time, Onsite Position.
  • Overtime may be available.
  • Availability to work occasional Saturdays is preferred.
