Macdonald Devin Madden Kenefick Harris \& Quinn, P.C. is a growing, well\-established, full\-service law firm in Dallas, Texas. Our practice includes product liability, construction law, commercial litigation, elder law, and insurance defense. The Firm is seeking a skilled, self\-directed Firm Billing Manager to join our Firm.

The ideal candidate must have high\-level experience with a range of billing support applications. Additional qualifications include excellent analytical and organizational abilities, solid communication and self management skills, creativity, initiative and ability to work in a team environment.

Responsibilities:

  • The Billing Manager is responsible for managing the day\-to\-day billing procedures including direction of accurate cash applications, AR monitoring, WIP management, consultation and management/preparation of complex client billing and e\-billing by compiling data from client billing guidelines and preparing invoices
  • Hands\-on supervision of the Billing staff is required
  • Actively focuses on attorney/client/firm billing requirements
  • Actively communicates with attorneys in the office and client’s administrative staff
  • In consultation with attorneys, follows up on collections as needed
  • This position requires heavy attorney contact
  • Maintains professionalism and strict confidentiality in all client and firm matters
  • Other duties may be requested and/or assigned
  • Regular and predictable attendance is an essential function of the position
  • Work directly with attorneys and Legal Executive Assistants/Legal Administrative Assistants to prepare client invoices; make necessary revisions to invoices, based on attorneys’ input and transmit final invoices to clients
  • Utilize computerized accounting and billing software programs to enter and compile data
  • Manage and assist with the workload of the office billing staff and assure equitable distribution of work
  • Pre\-review of draft bills for accuracy and non\-billable entries (per specific client guidelines or minimal dollar value) prior to forwarding to attorneys for review
  • Direct the preparation of invoices and e\-bills according to attorney and client billing guidelines
  • Track the e\-Billing progress and resolve any issues until approved by the client
  • Revise rejected e\-billed invoices and process billing disputes
  • Reconcile accounts
  • Respond promptly, politely and a reliable manner to partners and other attorneys and assure that the billing staff does the same
  • Supervisory Responsibilities
  • This position has significant supervisory responsibilities, which include implementation of firm policies and applicable statutes, managing training and mentoring the billing staff
  • Ability to work overtime when required at month\-end and year\-end to process heavy volume of client billing if necessary
  • Set up and maintenance of client e\-billing accounts in Coyote legal billing software and e\-billing vendor sites; submit timekeepers and rates for approval; keep all timekeepers and rates up\-to\-date on the sites; enter budgets.
  • Review Engagement Letters/client contracts and assure special e\-billing requirements are met.
  • Ability to troubleshoot e\-billing software applications, identify potential and realized problem areas, summarize findings, and outline steps to obtain a resolution of issues.
  • Review short pay invoices to determine if it needs to be written off or appealed.
  • Receive finalized invoices to be processed electronically.
  • Process invoices through Coyote; upload LEDES files on e\-billing vendor site.
  • Own the full scope of electronic billing for assigned clients, beginning with a draft invoice, and ending with a successful approval for payment, processing appeals as needed on short\-paid invoices.
  • Follow up on “e\-billed” invoices to ensure status has not changed on e\-billing vendor site.
  • Manage rejected invoices for assigned clients, liaising with the Accounting Department and Attorney to resolve promptly.
  • Communicate all pertinent e\-billing changes to appropriate team members, including Billing Attorneys.
  • Manage information of a highly specialized, advanced, or sensitive nature.
  • Provide general administrative assistance and support to assigned managers.
  • Work on special projects and additional duties as assigned.
  • Qualifications:

  • Knowledge of general accounting principles, e\-billing platforms and coyote billing software.
  • Computer proficient with experience and working knowledge of Microsoft Office (Word / advanced Excel skills), Outlook, and Adobe
  • Analytical skills requiring an aptitude for detail and accuracy to conduct analysis of complex client billing problems, reconciliation of billing related issues, ability to multi\-task with numerous reports simultaneously
  • Proactive with excellent troubleshooting, problem resolution, and follow\-through skills
  • Excellent interpersonal, verbal and written communication skills
  • Ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information, and maintain effective relationships with a diverse group of attorneys, clients, staff, and outside contacts
  • Excellent organizational skills including record keeping, data collection, and system information
  • Ability to compile and analyze data and furnish information in report/excel format, written correspondence, e\-mail, or verbally
  • Dependable team player who works collaboratively and cooperatively with others in a team\-oriented environment
  • Ability to act independently and make decisions within scope of the position’s responsibilities3\+ years legal electronic billing experience, with full knowledge of e\-billing vendor sites, LEDES formats, and e\-bill tracking systems.
  • Legal e\-billing experience with 3\+ years of experience handling high volumes of e\-billing; working knowledge of e\-billing software (examples: TyMetrix 360, LSS, Legal Tracker, CounselLink).
  • Knowledge of LEDES format standards and UTBMS coding.
