Job Summary

We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. This energetic role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks. The ideal candidate will be highly organized, tech\-savvy, bilingual (if applicable), and possess excellent communication skills. You will play a vital role in creating a positive first impression for visitors and clients while ensuring smooth administrative workflows across the office.

Duties

  • Greet visitors, clients, and staff with professionalism and enthusiasm, ensuring they feel welcomed and valued
  • Answer multi\-line phone systems promptly, directing calls efficiently and courteously
  • Manage appointment scheduling and calendar management using digital tools such as Vagaro, POS system
  • Handle data entry, filing, and document proofreading to maintain accurate records and support administrative functions
  • Support office management tasks including supply inventory, basic bookkeeping with QuickBooks, and organizing files
  • Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and professionalism
  • Assist with clerical duties such as typing correspondence, managing incoming/outgoing mail, and maintaining organized workspaces
  • Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with multi\-line phone systems and excellent phone etiquette skills
  • Ability to perform data entry accurately and efficiently in a fast\-paced environment
  • Bilingual abilities are preferred to serve diverse client needs effectively
  • Knowledge of office management practices including filing systems, calendar management, and basic bookkeeping (QuickBooks experience is a plus)
  • Strong customer service orientation with the ability to handle inquiries professionally and courteously
  • Clerical experience in medical or dental reception is advantageous but not required
  • Excellent time management skills to prioritize tasks effectively in a busy setting
  • Personal assistant or medical receptionist experience is beneficial for understanding specialized workflows
