The Oregon Department of Justice Division of Child Support is seeking an organized, detail\-oriented, and service\-minded support professional with an eye for detail and a desire to positively impact others. The Constituent Services Support Specialist (Office Specialist 2\) performs a variety of tasks to support our Constituent Liaisons, program managers and staff, and parents. The successful candidate will thrive in an environment of working both independently and as part of a team, balancing an assortment of projects and duties. Primary Duties (in part)
- Serve as primary point of phone contact for the Constituent Services team.
- Screen phone calls for appropriate routing and answering general information questions.
- Access and narrate computerized child support files.
- Monitor Constituent Services email inbox and route work appropriately.
- Track emails, grievances, complaints, public records request, and other work as needed.
- Gather and assemble information for discussion and review at team meetings.
- Initiate billing, then track, receive, and process payment for public records request.
- Prepare data custodian list, file preparation, documentation, and tracking for litigation holds.
- Update and maintain team information, files, procedures, and manuals.
- Schedule appointments, prepare agendas and other meeting materials, and take and distribute minutes.
- Create and maintain filing systems, including calendars.
- Perform data entry for program needs (e.g., reports, memos, letters, emails, etc.).
- Process, compile data for, and create various reports.
- Receive and process daily incoming mail and provide reception coverage.
- Other duties as assigned.
- Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
- An Associate’s degree; OR
- An equivalent combination of education and experience.
- Demonstrated a high attention to detail.
- Organized, able to effectively prioritize work, and meet deadlines.
- Demonstrated effective oral and written communication skills.
- Able to work collaboratively with a team and independently.
- Able to adhere to strict confidentiality requirements.
- Able to work under pressure while exercising good judgment.
- Able to remain professional and respond in a tactful and friendly manner when dealing with frustrated program participants.
- Proficient using multi\-line phones.
- Preference for current notary.
- Exposure to a variety of operational areas within the Division of Child Support (for those interested in future advancement opportunity).
