About the Role:
The Administrative Assistant in the construction industry plays a pivotal role in ensuring the smooth and efficient operation of the office environment. Minimum Qualifications:
- High school diploma or equivalent required; Associate’s degree or higher preferred.
- Proven experience in general administrative or clerical roles, preferably within the construction or related industry.
- Proficiency in calendar management and scheduling software.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Experience with construction industry terminology and project management software.
- Familiarity with travel booking platforms and expense reporting tools.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Ability to work independently and as part of a team in a fast\-paced environment.
- Prior experience handling multi\-line phone systems and office equipment.
- Manage and maintain calendars for multiple team members, scheduling meetings and appointments to optimize time and resources.
- Coordinate travel arrangements including booking flights, accommodations, and transportation for staff and management.
- Answer and manage multi\-line phone systems, directing calls and taking messages as necessary.
- Organize and maintain physical and electronic records, ensuring documentation is accurate, up\-to\-date, and easily accessible.
- Arrange and prepare materials for meetings, including agendas, presentations, and minutes, and follow up on action items.
- Perform general clerical duties such as filing, photocopying, scanning, and data entry to support office operations.
- Serve as a point of contact between internal teams and external stakeholders, facilitating clear and professional communication.
