Position Summary:

The Executive Assistant position is primarily responsible for providing executive\-level administrative support to the Senior Vice President, Business Retail as well as support for senior leadership to manage schedules, coordinate meetings and travel, support departmental operations, and ensure day\-to\-day administrative needs in Houston are handled efficiently. The position will require a broad, comprehensive experience and knowledge of company policies and practices. The ideal candidate is detail\-oriented, proactive, and comfortable handling confidential information and interactions with executives and business partners. Essential Responsibilities:

  • Provide administrative support to the SVP and leadership team, including calendar management, meeting coordination, travel arrangements and expense report preparation.
  • Schedule, organize, and support meetings for leaders and the department, both onsite and virtual (e.g., Teams calls, conferences) including timely distribution and receipt of meeting materials and accurate documentation.
  • May attend leadership meetings as needed and capture meeting notes and action items.
  • Must handle confidential information with discretion, maintaining adequate knowledge of corporate policy.
  • Interface with and serves as a liaison for internal and external business partners.
  • Collect signatures from the SVP for needed documents.
  • Assist the SVP and Business Operations Manager where possible (report preparation, inquiries, presentations)
  • Work cross\-functionally to drive and execute on various team events, socials, offsite meetings, etc.
  • Work cross\-functionally to ensure communication is efficient and clear between teams.
  • Organize, prioritize, and coordinate multiple work activities with demonstrated ability to meet deadlines.
  • Contribute to developing and maintaining an organized and positive department culture.
  • Other duties as assigned.
  • Required Skills \& Experience:

  • High school diploma or GED equivalent.
  • Notary required. Additional education and/or certifications welcome.
  • Minimum 5 years of providing administrative support for executive\-level management.
  • Excellent interpersonal, written, and oral communication skills are essential.
  • Excellent administrative and office management skills are required.
  • Advanced with MS Office Suite (PowerPoint, Excel, Word, Outlook, Visio)
  • Preferred Skills \& Experience:

  • College/university degree preferred.
  • Experienced with SAP, Concur.
  • E\-mail and Internet proficiency.
  • Ability to prioritize tasks assigned by multiple sources.
  • Strong organizational skills to manage complex arrangements for meetings, presentations, travel, etc.
  • Overtime is necessary on occasion.
  • Ability to meet deadlines with speed, accuracy, and professionalism.
  • Experience with AI tools, with the ability to perform tasks without relying on them.
  • Financial analysis experience.
  • Working Conditions:

  • Houston, TX based.
  • In\-office work schedule, Monday\-Friday
  • Minimum overtime, but it may be necessary to complete special projects or meet deadlines.
  • Minimal travel within the U.S.
