About the Role
We’re seeking a highly organized Front Desk \& Billing Coordinator who can be the welcoming face of the clinic and the behind\-the\-scenes wizard who keeps our billing systems running smoothly. If you love structure, accuracy, and helping patients navigate care, this role will feel like home.
You’ll work directly with patients, providers, and insurance networks, supporting daily operations and helping our practitioners get credentialed with major insurance carriers.
What You’ll Do
Front Desk Duties
· Greet patients with warmth and professionalism
· Manage check\-in/check\-out, scheduling, and patient flow in a calm and efficient manner
· Communicate clearly about treatment plans, paperwork, and clinic policies
· Maintain a peaceful, tidy reception area
Billing \& Administrative Duties
· Handle insurance verification for acupuncture (and occasional adjunct services)
· Submit claims through Claim MD or Office Ally with a high degree of accuracy
· Review and resolve claim denials, rejections, and required follow\-ups
· Post payments and reconcile patient accounts in JaneApp
· Support credentialing and contracting to get practitioners in\-network with insurance plans
· Track authorizations, visit counts, and relevant documentation
· Maintain HIPAA compliance and secure patient data practices
· Assist with basic admin tasks (email, forms, record requests, etc.)
Schedule
Flexible scheduling with consistent weekly hours.
Some evening availability is preferred.
As we grow into the new clinic space, this role may expand in hours and responsibility.

Requirements
· 1–2\+ years experience in medical, wellness, or front\-office admin
· Experience with billing, handling claims, or working with insurance
· Familiarity with JaneApp or similar EMRs
· Working knowledge of Claim MD and Office Ally (or willingness to learn quickly)
· Strong attention to detail—accuracy is everything in billing
· Excellent communication and problem\-solving skills
· Comfort working in a fast\-paced, multi\-practitioner setting
· Ability to work both independently and as part of a small team
· Must maintain HIPAA compliance at all times
Preferred
· Previous experience verifying insurance for acupuncture, chiropractic, PT, or similar
· Experience with credentialing or assisting providers in getting in\-network
· Bilingual (Spanish/English) is a plus
· Interest in holistic medicine, acupuncture, or integrative care
