About the Position

In this role, you will...
Department Coordination:
- Coordinate special projects and process improvement initiatives to enhance operational efficiency and service delivery
- Support development, tracking, and reporting of department performance measures and strategic actions
- Prepare administrative documents, including board items, legal service requests, and responses to assignments
- Provide high\-level customer service by responding to inquiries, resolving complex issues, and addressing policy or regulatory questions
- Manage department assets and resources, including inventory, purchasing, licensing, and staff training coordination
- Support leadership by coordinating schedules, priorities, communications, and departmental initiatives
- Serve as the administrative lead for 8\+ contracts, ensuring timely processing, compliance, and management of renewals, amendments, billing, and documentation
- Provide full contract oversight, including performance monitoring, financial tracking, and ensuring adherence to terms, deliverables, and invoicing requirements
- Coordinate with Procurement and staff to manage contract renewals, amendments, and the establishment of annual purchase orders
- Serve as Procurement liaison, supporting competitive and non\-competitive purchasing processes and ensuring compliance with County policies in coordination with the Procurement Department
- Manage procurement operations, including p\-card oversight, purchase requisitions, change orders, quotes, and support for formal solicitations and scope development
- Review vendor documentation and processes invoices for timely payment, while coordinating department purchases such as supplies, uniforms, and equipment
- Monitor and track the department budget in coordination with OFM, supporting ongoing fiscal oversight and accuracy
- Assist with budget preparation, data entry, and maintenance in GovMax, including analyzing data and recommending solutions to budget issues
- Develop financial reports and supports disaster operations by reviewing and ensuring accuracy of daily disaster logs
- Associate's degree from an accredited college or university *with
- 4\+ years of clerical or administrative experience, with some executive exposure
- of 6 years of related work experience)
- A valid Florida Driver's License at the time of hire
- Familiarity with Florida public records laws and records retention (GS1\-SL)
- Understanding of local government operations and cross\-functional coordination
- Experience with budget tracking, financial reporting, and fiscal coordination
- Exposure to executive\-level communications and BCC\-related processes
- Experience using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Smartsheet for project tracking and dashboards, OnBase for document and invoice management, GovMax for budgeting and financial tracking, enterprise financial systems for purchase requisitions and change orders, Adobe Acrobat, virtual platforms such as Teams and Zoom, and standard office and inventory tracking systems.

About the Schedule

Work Hours: Monday \- Friday, 08:00 a.m. to 05:00 p.m.

Starting Pay Range: $24\.74 \- $26\.00/ hour, based on experience
