Duties

  • Oversee daily office operations, including front desk management and maintaining a professional reception area
  • Handle multi\-line phone systems with courteous phone etiquette, directing calls efficiently and professionally
  • Manage calendar scheduling, appointments, and meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and proofreading tasks to ensure accuracy in all documentation and correspondence
  • Maintain financial records using QuickBooks or similar bookkeeping software, including invoicing and expense tracking
  • Support customer service efforts by assisting clients and visitors with inquiries and providing support as needed
  • Coordinate office supplies procurement, manage vendor relationships, and ensure the office remains organized and well\-stocked
  • Skills

  • Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace for effective office management
  • Strong clerical experience with excellent organizational skills, typing speed, and attention to detail
  • Exceptional customer service skills with the ability to handle phone calls professionally and support clients effectively
  • Bilingual abilities are a plus to assist diverse client needs and enhance communication within the team
  • Experience with front desk duties, medical or dental receptionist tasks, or personal assistant responsibilities is highly desirable
  • Knowledge of data entry, filing systems, calendar management, and time management techniques to optimize workflow
  • Familiarity with office equipment such as multi\-line phone systems, fax machines, printers, and basic IT troubleshooting
