We are seeking a mission\-driven, service\-focused Administrative Assistant who understands that this role is more than clerical work — it is ministry, service, and leadership at the front line of family engagement.
This individual will serve as the welcoming presence of our center, ensuring that every family feels valued, supported, and respected from the moment they walk through our doors. The Administrative Assistant plays a vital role in maintaining excellence in operations while contributing to a nurturing, organized, and purpose\-filled environment for children and staff.
Key Responsibilities
Family Engagement \& Frontline Hospitality
- Welcome families, children, and visitors with warmth, professionalism, and care.
- Serve as the first point of contact for parents and community members.
- Guide families through the enrollment and application process with clarity and compassion.
- Provide tours that reflect the mission, culture, and excellence of New Genesis.
- Maintain confidentiality while handling sensitive family information.
- Maintain accurate student attendance records and ensure proper data entry.
- Support and manage documentation for CACFP (Child and Adult Care Food Program) reimbursement.
- Order food and purchase classroom supplies in a timely, cost\-effective, and compliant manner.
- Assist staff with time clock or payroll\-related questions.
- Contact and coordinate building maintenance needs to ensure a safe and well\-maintained facility.
- Assist with opening the facility when needed to ensure smooth daily operations.
- Provide classroom breaks to support teaching staff.
- Step into classrooms when necessary during staff absences to maintain program continuity.
- Support a safe, nurturing, and structured learning environment.
- Partner with the Director and team to uphold licensing standards and operational excellence.
- Previous experience in administrative support, early childhood education, or a family\-centered environment preferred.
- Demonstrated ability to work effectively with diverse and low\-income families.
- Strong organizational skills with the ability to multitask in a fast\-paced setting.
- Proficiency with computers, data entry systems, and online purchasing platforms.
- Excellent communication skills and professional phone etiquette.
- High level of discretion, integrity, and commitment to confidentiality.
- Flexible, dependable, and willing to serve wherever needed.
- Solutions\-oriented with the ability to anticipate needs and take initiative.
- Must pass a full background check.
