Job Summary
We are seeking a highly organized, proactive, and fully bilingual (English/Spanish) Office Assistant to support our growing homecare agency. You will be the backbone of our daily operations, ensuring that our caregivers are scheduled efficiently, our new hires are vetted properly, and our billing data is accurate.
The ideal candidate is a multitasker who thrives in a fast\-paced environment and possesses a compassionate heart for the elderly and disabled communities.
Key Responsibilities
1\. Scheduling \& EVV Management
- Coordinate and maintain weekly schedules for home health aides and clients.
- Monitor Electronic Visit Verification (EVV) systems to ensure caregivers are clocking in/out correctly.
- Troubleshoot missed visits or late arrivals in real\-time to ensure no lapse in patient care.
- Assist in the hiring process: post job ads, screen resumes, and conduct initial phone interviews in both English and Spanish.
- Manage the onboarding pipeline: run background checks, verify certifications (CNA/HHA), and collect I\-9/tax documentation.
- Maintain organized digital and physical employee files to ensure state audit readiness.
- Serve as the primary point of contact for Spanish\-speaking clients and their families.
- Answer multi\-line phone calls and direct inquiries to the appropriate department.
- Data entry, filing, and general office upkeep.

Qualifications \& Skills
* Fluency: Must be 100% fluent in English and Spanish (written and verbal).
* Experience: Previous experience in a homecare or medical office setting is highly preferred.
* Tech\-Savvy: Proficiency in Microsoft Office (Word/Excel) and familiarity with homecare software (e.g., Availity, Alora, Axxess) is a major plus.
* Communication: Exceptional interpersonal skills; ability to handle sensitive situations with empathy and professionalism.
* Detail\-Oriented: A "sharp eye" for compliance—missing one signature on a form can be a big deal in healthcare!
