Position Title: Prescott Office Administrator

Location: Prescott, AZ (Newly Opened Branch Office)

Employment Type: Full\-Time

Schedule: Monday – Friday, 9:00 AM – 5:00 PM

Compensation: $15\.00 – $17\.00/hour (DOE)

Benefits: Medical Insurance (cost\-sharing), Paid Time Off (PTO), Holiday Pay

About the Opportunity

We are excited to announce the opening of our new branch office in Prescott, AZ. As we expand our presence in residential real estate and property management, we are seeking a highly organized and self\-motivated Office Administrator to serve as the primary on\-site support for this location.

This is a unique opportunity to take ownership of a standalone office role, managing daily operations, supporting property management functions, and assisting with real estate transactions in a professional, independent work environment.

Key Responsibilities

Daily Office Operations

  • Open and close the office; maintain a clean, professional environment
  • Serve as the first point of contact and provide excellent customer service
  • Answer phone calls, handle inquiries, and coordinate communication with the Mesa office
  • Manage incoming mail, packages, and drop box items (scan, process, distribute)
  • Property Management Support (AppFolio)

  • Onboard new rental properties, including data entry (contracts, utilities, HOA details)
  • Offboard properties, including close\-out documentation and system updates
  • Process county rental registrations and HOA compliance notices
  • Assist with move\-in and move\-out coordination, including utilities and documentation
  • Transaction File Support

  • Manage and organize transaction files in DocuSign Rooms
  • Upload, assign, and distribute executed documents to internal systems
  • Administrative \& Financial Support

  • Post small charges (e.g., HOA fines) to tenant accounts in AppFolio
  • Occasionally process remote bank deposits
  • Provide remote administrative support to the Mesa office
  • Qualifications \& Skills

  • High school diploma or equivalent required
  • 1–3\+ years of administrative experience (real estate or property management preferred)
  • Proficiency with DocuSign, AppFolio (or similar software), and Microsoft Office (Word, Excel, Outlook)
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to work independently and manage priorities in a fast\-paced environment
  • Reliable transportation and valid driver’s license
  • Knowledge of Arizona real estate practices, HOA processes, or rental regulations is a plus
