What We are Looking For:

WFSE is recruiting an Administrative Assistant for our Negotiations Department. Reporting to the Director of Negotiations, the Administrative Assistant provides highly technical support to the Director and Department. This position handles all administrative functions, assists with the daily operations, and works with the Associates, Labor Negotiators, and the Director of Negotiations to accomplish their goals. We are looking for a highly capable administrative support professional who is ready to take on the essential functions of the position, making critical contributions to the labor movement.

Essential FunctionsSupports the Director of Negotiations with daily administrative activities and serves as a resource to the department for responding to members. Manages calendars, sets up meetings and meeting locations, and takes meeting notes on behalf of the Director. Prepares all personnel and payroll documents, such as activity reports and staff expense vouchers, for the Director’s review and signature. Offers guidance for writing professional correspondence on behalf of department staff. Updates the Director’s quarterly report to the Executive Board and supports the Director in working with assigned Executive Board Committees.

Prepares and transmits notifications to state and other officials to ensure compliance with contractual and other legal requirements. Tracks timeframes for communicating the next steps in the process to ensure timely decisions, processing, and closures as appropriate.

Receives mandatory subjects’ notices and distributes them promptly and in compliance with the appropriate contract(s). Creates and tracks mandatory subjects’ notices and demands to bargain matters in WFSE databases. Creates and administers surveys using platforms such as Survey Monkey. Handles highly technical bargaining team nominations and elections using accurate data and the guidelines set by the WFSE’s Collective Bargaining Committee. Using their understanding of WFSE’s collective bargaining agreements and advanced knowledge of programs such as Microsoft Excel, retrieves and organizes contract proposals for each bargaining table. Works with Lead Negotiators to support the tracking of contract negotiations. Works with Lead Negotiators and the Communications Department to support contract ratifications.

Ensures proper contracts and other legal documents are uploaded into WFSE databases and proofread before release. Serve as a resource and point of contact for other departments, answering questions and resolving issues. Works with the Labor Educator to prepare instructional materials. Monitors and manages platform subscriptions and direct bill accounts. Serves as the backup for the Associates, filing demands to bargain, scheduling meetings, etc. Must have a Washington State Driver’s License. Other duties as assigned.

Required Qualifications:

  • Five (5\) years of progressively responsible experience in administrative support work.
  • Proficiency in Microsoft Office Suite and related applications.
  • Highly organized and capable of juggling multiple projects simultaneously.
  • Strong oral and written communication skills.
  • Ability to work under pressure.
  • Meticulous attention to detail.
  • Strong analytical skills using various databases to collect and interpret data.
  • Valid Washington State Driver’s License.
  • Desirable Qualifications:

  • Strategic Research – literature review, survey development, data collection, data analysis.
  • Experience with Clio, Survey Monkey, Adobe Creative Suite, Publisher, and SharePoint.
  • Experience with UnionActive and UnionWare.
  • Understanding of basic labor principles and working experience in a Union.
  • Excellent interpersonal skills.
  • Ability to work independently.
  • Microsoft Certifications.
  • Special Note:

    It is expected that selected candidates must reside in Washington state. This position is eligible for overtime and may be required to work some evenings and weekends. New employees will be subject to a background check and a driving record request. Travel may be required. Benefits include twelve (12\) paid holidays, annual and sick leave, $150 monthly cell phone allowance, medical/dental, life, and long\-term disability insurance, personal holidays, and more. The salary range is $62,759 to $72,650 and will be determined commensurate with experience.
