POSITION SUMMARY
The Assistant to the Vice President of Development is a key administrative and operational support role within the Development Division. This position provides high\-level administrative support to the Vice President of Development and the Development Team, assisting with fundraising efforts, foundation engagement, donor relations, data management, and event coordination.
This role requires strong attention to detail, excellent organization, confidentiality, and the ability to manage many moving parts. The ideal candidate is proactive, adaptable, and committed to the organization’s mission and core values.
SCHEDULE:
Although this is an hourly position, due to the nature of divisional needs the Assistant may need to be available for emergent issues for the Division, even outside of scheduled hours, especially when the Development team is traveling. However, a typical work week will be Monday\-Friday, 8am\-4:30pm.
TYPICAL DUTIES AND RESPONSIBILITIES:
Administrative Support to the VP of DMC – 40%
· Daily and weekly check\-ins with the VP of Development.
· Manage calendars, email, scheduling, and meeting coordination.
· Assist with travel arrangements and virtual meeting preparedness.
- Manage receipts and complete expense reports monthly.
- Manage meeting logistics: assuring all meeting details are planned, communicated and confirmed including agendas, materials, action items.
- Protect confidential and sensitive information with discretion.
- Support interdepartmental collaboration for fundraising and communications initiatives, which may include outbound calls to donors
- Provide excellent customer service to internal staff, donors, foundations, and partners.
- Availability to take urgent calls and provide assistance outside of business hours, as needed, especially when the VP or Development Team is traveling.
- Support donor engagement activities, including stewardship mailings, list pulls, and acknowledgment coordination.
- Assist with development\-related research, database updates, and reporting.
- Administrative support for monthly and quarterly Zoom calls with donors and various stakeholders.
- Provide additional support for miscellaneous projects (example: list pulls, monthly notecards coordination, etc.).
- Help track foundation deadlines, reporting dates, and application cycles.
- Support preparation of foundation grant materials (drafting sections, assembling attachments, updating organizational data, etc.).
- Manage grant files, past applications, award letters, and reporting documents.
- Assist with foundation research to identify prospective grantmakers.
- Coordinate communication with foundations (scheduling calls, preparing briefing notes, tracking correspondence).
- Support the VP of Development and grant writer(s) in meeting submission deadlines and maintaining high‑quality grant documents.
- Strong organizational and multitasking skills.
- Professional interpersonal abilities with a wide variety of stakeholders.
- Proficiency with Microsoft Office: Word, Excel, PowerPoint, Outlook.
- Strong administrative skills and the ability to take accurate notes and synthesize information.
- Excellent written and verbal communication.
- Experience with donor databases (Salesforce) is a plus.
- Grant or foundation experience is strongly preferred but not required.
- Meets deadlines for grants, reports, donor communication, and internal projects.
- Maintains accurate and organized records across development functions.
- Provides timely, professional correspondence to donors and foundation partners.
- Supports VP of Development effectively through proactive communication and task management.

General Development Division Support – 20%
· Attend division meetings and track action items.
· Maintain organized digital file systems (SharePoint, OneDrive, etc.).
· Support team travel, donor events, and organizational fundraising activities.
Development Team Support – 20%
· Attend division meetings and track action items.
· Weekly check\-ins with Development team members.
Foundation Assistance – 20%
