General Description:

G1 Partners, LLC (“G1”) is a boutique financial services firm providing financial planning and family office services to ultra\-high\-net\-worth families throughout the United States. We are seeking a highly organized Family Personal Assistant \& Estate Administrator to provide day\-to\-day personal and administrative support to one of our families. The family maintains multiple private residences across Texas, Illinois, and Montana, and this role is focused on organization, coordination, and maintaining clear documentation to help ensure that property operations run smoothly and efficiently.

This is a full\-time role based in Austin, TX, with a blend of remote work, on\-site family support, and eventual office presence at G1 Partners’ Austin office (planned Fall 2026\). This position reports directly to the G1 Senior Relationship Manager, takes day\-to\-day directions from the family, and works closely with the family’s Senior Property and Estate Manager. Role and Responsibilities:

· Personal \& Administrative Support

· Serve as a dedicated personal assistant to the family, acting as their primary administrative support and helping manage the flow of daily family life

· Anticipate needs proactively, serving as a reliable right hand

· Run personal and household errands as needed, including managing vehicle maintenance schedules and coordinating service appointments

· Assist with scanning and distributing incoming mail and correspondence to the appropriate family members or advisors in a timely and organized manner

· Coordinate or assist with personal tasks such as house sitting, pet care, gift purchasing, and other household needs as appropriate

· Assist with scheduling travel logistics as needed

· Support household event planning and coordination as needed, including family gatherings and private functions

· Household \& Property Coordination

· Maintain centralized documentation across all residences, including property records, manuals, and service histories

· Manage and update vendor and service provider databases, including contact information, contracts, insurance documentation, and service histories

· Track and coordinate routine maintenance schedules across each property, working closely with the family’s Senior Property and Estate Manager

· Assist in monitoring ongoing property projects (construction, renovations, etc.), documenting timelines and status updates

· Track invoices and assist with vendor payment coordination

· Communication \& Reporting

· Compile and prepare weekly operational updates for estate leadership

· Maintain shared calendars and project trackers across the family and G1 team

· Document key decisions, project updates, and operational information for long\-term reference

· Serve as a reliable communication bridge between the family, G1 team, household staff, and service providers

Requirements and Characteristics:

· Associate or Bachelor’s Degree preferred but not required.

· 3\-5 years of experience as a personal assistant, executive assistant, or estate/household coordinator, ideally supporting a private family or executive.

· Proficiency with Microsoft Office Suite (Excel, Outlook, Word), Microsoft Teams, Zoom and a genuine intellectual curiosity about using technology to create efficiencies

· Excellent verbal and written communication skills with a polished, professional presence.

· Strong organizational and time management skills; ability to juggle competing priorities, meet deadlines, attention to detail, and follow through on resolution.

· Positive, proactive attitude with a willingness to learn, be flexible, and work in a team.

· The selected candidate must demonstrate a high level of discretion and professionalism in all interactions, handling sensitive and confidential information with sound judgement and care while appropriately representing the family and G1 Partners, LLC.

· Candidate must be able to provide at least three references and will agree to a full background check during the interview process. If hired, the candidate will need to sign a confidentiality agreement.

Compensation and Benefits:
