Responsibilities

  • Greet visitors and manage front desk duties with professionalism and warmth
  • Answer multi\-line phone systems promptly, directing calls accurately and courteously
  • Handle data entry, filing, and document proofreading to maintain organized records
  • Assist with calendar management and scheduling appointments using Google Workspace or Microsoft Office tools
  • Support office management tasks including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Provide customer service support by addressing inquiries and supporting client interactions
  • Maintain a clean, organized workspace and ensure office equipment is functioning properly
  • Experience

  • Previous office experience or clerical experience preferred, with a strong foundation in administrative tasks
  • Proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with multi\-line phone systems and phone etiquette essential for effective communication
  • Bilingual abilities are highly valued to assist diverse clients and team members
  • Experience with data entry, filing, proofreading, and basic bookkeeping (QuickBooks) is advantageous
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Personal assistant or medical/dental receptionist experience is a plus but not required
