Duties

  • Greet visitors and clients warmly, ensuring a positive first impression at all times
  • Manage multi\-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle front desk responsibilities including scheduling appointments, maintaining calendars, and managing visitor sign\-ins
  • Perform data entry and maintain organized filing systems both physically and digitally using tools like Google Workspace and Microsoft Office
  • Assist with office management tasks such as supply inventory, photocopying, proofreading documents, and supporting team members with clerical duties
  • Support bookkeeping activities using QuickBooks or similar accounting software when needed
  • Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all touchpoints
  • Requirements

  • Proven office or administrative experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi\-line phone systems and phone etiquette in a professional setting
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills along with excellent proofreading capabilities to ensure accuracy in all correspondence
  • Knowledge of office management procedures such as filing, data entry, calendar management, and document proofreading
  • Customer service experience with a friendly demeanor and effective communication skills
  • Ability to handle multiple tasks efficiently while demonstrating excellent time management skills
  • Previous experience as a dental or medical receptionist or personal assistant is a plus but not required
