Responsibilities

  • Provide comprehensive executive administrative support, including calendar management, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace.
  • Manage phone etiquette by handling multi\-line phone systems, screening calls, and directing inquiries appropriately.
  • Organize and maintain files, documents, and records through effective filing systems both physically and digitally.
  • Assist with event planning for meetings, conferences, or company functions, ensuring all logistics are handled seamlessly.
  • Perform data entry, bookkeeping tasks using QuickBooks, and assist with basic office bookkeeping responsibilities.
  • Support project coordination efforts by tracking deadlines, preparing reports, and communicating with team members.
  • Conduct proofreading and transcription of documents to ensure accuracy and professionalism in all communications.
  • Facilitate office management duties such as supply ordering, front desk reception duties, and maintaining a welcoming environment.
  • Utilize office software including Microsoft Office Suite (Word, Excel), Google Workspace applications, and DocuSign for document signing processes.
  • Provide exceptional customer service by addressing inquiries promptly and courteously while maintaining professional phone etiquette.
  • Experience

  • Proven experience as a Personal Assistant or in an administrative support role with a strong background in office management.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel), Google Workspace tools, QuickBooks, and multi\-line phone systems.
  • Experience with event planning, project coordination, data entry, filing systems, and bookkeeping is highly desirable.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
  • Excellent written and verbal communication skills with keen attention to detail for proofreading and transcription tasks.
  • Prior experience supporting executives or senior management is preferred but not required; relevant office experience is essential.
