Scope of Responsibilities
Assist in the administrative functions of the Multilingual Services (ML) and World Languages departments, and Newcomer Program, encompassing a wide range of responsibilities. This includes administrative support for the Coordinator of Multilingual Services and World Languages, overseeing and coordinating multiple funding sources and grants, procurement of materials for the departments, facilitating communication between multilingual coaches and teachers, handling vendor invoices, managing requisitions, coordinating conference logistics, generating reports through our student information system for staff dissemination, preparing for State assessment (WIDA ACCESS), and efficiently organizing, filing, and maintaining records of timesheets, Home Language Surveys, and related documents.
Performance Responsibilities
- Provides direct support to the Coordinator of Multilingual Services and World Languages.
- Perform secretarial work and other duties, including maintaining budget reports and calendars, email and telephone duties, organizing, and filing.
- Prepare documents, correspondence, newsletters, and informational brochures for distribution.
- Assist in the development, preparation, graphic design, and production of curriculum\-related documents.
- Prepare, organize, order, and print curriculum for the summer programs.
- Assist with compiling student program data from ML teachers for State reporting purposes.
- Assist with processing and generating reports of assessment information detailing student, teacher, building, and district data.
- Inventory and order materials and supplies as needed.
- Arrange logistics for multiple staff members attending conferences, workshops, and other professional development opportunities, including registration, travel, and accommodations.
- Provide assistance to district staff members and community members in locating needed curriculum and assessment resources.
- Work collaboratively and communicate professionally with community partners on programs and grants, as well as with staff, parents, and members of the community.
- Assist Coordinator and coaches with textbook adoption, including planning, procurement, inventory, and distribution/delivery within the school district.
- Act as a liaison for the department, both internally and externally, using your language skills to facilitate communication and positive relationships with international partners and stakeholders.
- Attend department and support staff meetings as well as professional development.
- Provide support on department projects for the Instruction and Student Services division.
- Assist in the planning, preparation, and logistics for evening parent classes, regular department programs, and special events.
- Perform other duties as assigned by the Coordinator of Multilingual Learners Services and World Languages.
- High School Diploma or Accredited Equivalency.
- Must possess excellent technology skills, including proficiency in Microsoft Office Suite and Google Workspace.
- Demonstrate cultural competency and responsiveness in a diverse work environment, or willingness to acquire these skills.
- Ability to work independently in a fast\-paced environment, establish timelines, and manage competing priorities to maintain workflow.
- Ability to work well in a team environment with accuracy and attention to detail.
- Ability to quickly learn computer programs (including Canva, PowerSchool, Munis) as they become available and current programs are updated.
- Evidence of skill in written and verbal communications.
- Demonstrate competence in completing tasks and special projects at short notice.
- Experience in maintaining budgets and generating budget reports.
- Ability to compile, design, and prepare accurate written reports and documents.
- Willingness to support department and district events outside of regularly scheduled working hours.
- Three years of successful office experience.
- Evidence of a desirable work record (i.e., low absenteeism, good performance, flexibility).
- Proficiency in a second language, with the ability to read, write, and speak fluently.
- Previous office experience as an administrative assistant or secretary.
