The Child Welfare Division is seeking a highly skilled, detail‑oriented Administrative Specialist to provide exceptional support to the Division Director and three Assistant Division Directors. In this fast‑paced environment, you’ll manage complex calendars, prepare high‑quality documents and correspondence, coordinate daily operations, and serve as a trusted administrative resource for leadership.
This role requires strong organizational skills, advanced proficiency in Microsoft Office, excellent judgment, and the ability to handle sensitive information with professionalism and discretion.
The work of Child Welfare is guided by three federally mandated goals:

By supporting efficient, reliable administrative operations, the Administrative Specialist plays a vital role in helping the division strengthen families and improve outcomes for children in our community.
As part of county operations, this position may participate in emergency preparedness activities, trainings, or temporary assignments during emergency events.

The Basics (Required Education and Experience)
High school diploma or GED
Two years of administrative/office support experience
Equivalent education and experience are accepted

Beyond the Basics (Preferred Education and Experience)
Associate’s degree in Business Administration, Office Administration or related field
Two years of experience in increasingly responsible administrative support work
Bachelor's degree in Business Administration, Office Administration or related field
Advanced skills across Microsoft Office Suite, including Excel formulas, pivot tables, and data analysis; Word templates and mail merge; PowerPoint presentation design; and strong use of Teams/SharePoint
Experience working in government, human services, or child welfare environments
Experience coordinating large meetings, training, or complex events
Strong skills in developing reports, spreadsheets, and data summaries for leadership decision making
Experience with procurement processes, including purchase requests, contract amendments, and P card reconciliation requirements
Ability to work independently, demonstrate initiative, solve problems, and manage shifting priorities effectively

Modern office practices, administrative procedures, and customer service principles
Scheduling, meeting coordination, and records management
Basic budgeting, purchasing, and financial transaction processes
Business writing standards, document formatting, and confidentiality requirements

Proficiency with Microsoft Office and calendar/scheduling tools
Effective organization, time management, and attention to detail
Document preparation, proofreading, and data entry accuracy
Abilities:
Provide excellent front‑line service and route inquiries appropriately
Manage multiple priorities and deadlines in a fast‑paced environment
Prepare and organize materials for meetings, reports, and presentations
Handle sensitive information with professionalism, discretion, and tact
Troubleshoot and resolve routine administrative issues independently
Support HR liaison functions, travel coordination, and general office operations
