As we continue to expand our HVAC\-related operations, we are seeking a highly organized and detail\-oriented Order Processing Specialist (HVAC) to support the efficient ordering and fulfillment of HVAC units for our technician network.

The Impact You Will Have

As an Order Processing Specialist (HVAC), you will play a key role in supporting the HVAC team by managing the order placement process for HVAC units being provided to home service technicians. Working closely with the HVAC Sales Manager, you will be responsible for accurately processing orders, coordinating with vendors and technicians, tracking fulfillment, and helping ensure equipment is delivered in a timely and orderly manner.

This is not a sales role. Instead, this position is focused on operational execution, order accuracy, and fulfillment coordination. Your work will directly contribute to a smooth and reliable ordering experience for technicians and help ensure the HVAC team operates efficiently and effectively.

Your Duties and Responsibilities Include but Are Not Limited to the Following

  • Work closely with the HVAC Sales Manager to process and place orders for HVAC units and related equipment for home service technicians.
  • Accurately enter, review, and manage orders to ensure all details are complete and correct prior to submission.
  • Coordinate with vendors, suppliers, technicians, and internal team members regarding order status, availability, shipping timelines, and delivery updates.
  • Track orders from placement through fulfillment and delivery to ensure technicians receive their equipment in an organized and timely manner.
  • Maintain accurate and up\-to\-date records of all orders, shipments, deliveries, and related communications.
  • Proactively follow up on delayed, incomplete, incorrect, or missing orders and assist in resolving issues promptly.
  • Serve as a point of contact for technicians regarding order\-related questions, updates, and fulfillment support.
  • Monitor order flow and ensure all requests are handled efficiently, professionally, and in accordance with internal processes.
  • Escalate recurring order, vendor, or fulfillment issues to management and help identify opportunities for process improvement.
  • Support the HVAC Sales Manager with administrative and operational tasks related to order processing, coordination, and fulfillment.
  • Help ensure a high level of accuracy, organization, and responsiveness throughout the entire order management process.
  • Collaborate cross\-functionally with other departments as needed to support business needs and improve operational efficiency.
  • Qualifications

  • 1–3 years of experience in order processing, order management, logistics coordination, operations support, administrative support, or a related field.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple orders and tasks simultaneously while meeting deadlines.
  • Strong written and verbal communication skills.
  • Ability to follow processes, maintain accurate documentation, and resolve issues in a timely manner.
  • Comfortable working in a fast\-paced environment with changing priorities.
  • Proficiency in Google Workspace, Microsoft Office, and/or order management systems.
  • Ability to work effectively both independently and collaboratively.
  • Preferred Qualifications

  • Experience working in HVAC, home services, construction, parts/equipment coordination, or a related industry.
  • Familiarity with purchase orders, shipping coordination, vendor communications, and order tracking workflows.
  • Experience supporting field technicians or coordinating equipment deliveries.
