Duties

  • Serve as the first point of contact at the front desk, greeting visitors and managing multi\-line phone systems with professionalism and courtesy
  • Handle all incoming calls with proper phone etiquette, directing inquiries efficiently and courteously
  • Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records
  • Support office management tasks such as supply inventory, equipment maintenance, and basic bookkeeping using QuickBooks or similar software
  • Assist with customer support by responding to inquiries via email or phone, providing excellent service and timely follow\-up
  • Maintain organized files, manage incoming correspondence, and support clerical duties such as typing reports and processing invoices
  • Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with QuickBooks or similar bookkeeping software is preferred
  • Excellent communication skills in both English and bilingual capabilities (if applicable)
  • Experience handling multi\-line phone systems and providing exceptional customer service
  • Strong attention to detail for proofreading documents and data entry tasks
  • Ability to manage time effectively in a fast\-paced environment while prioritizing tasks efficiently
  • Previous experience as a receptionist or personal assistant is advantageous, especially in medical or dental office settings
  • Demonstrated professionalism in phone etiquette, calendar management, and office management duties
