Administrative Assistant
Roles and Responsibilities
The Administrative Assistant ensures the smooth, calm, and consistent functioning of daily school operations. This role supports the Head of School and leadership team by managing logistics, communication flow, and administrative systems so that teachers can focus on instruction and leadership can focus on strategic priorities.
This is an ideal role for someone who is highly organized, proactive, and enjoys creating structure, clarity, and order in a dynamic school environment.
Part\-Time (29 hours/week)
Monday, Wednesday, Friday: 7:30am–3:30pm
Tuesday/Thursday: flexible or partial day (as needed)
1\. Executive \& Administrative Support
- Manage Head of School calendar and scheduling
- Maintain school\-wide calendars (digital \+ print)
- Coordinate meetings (Board, staff, events logistics)
- Organize office systems, supplies, and materials
- Manage mail, packages, and ordering (Amazon/USPS)
- Maintain shared drives and organizational systems with fidelity of processes in place
- Support student records and document organization with fidelity of processes in place
- Schedule inspections and routine maintenance (HVAC, plumbing, tech)
- Coordinate and follow up on repairs and vendor communication
- Maintain office and campus organization, cleanliness, and readiness
- Monitor and maintain basic security systems (Ring camera, etc.)
- Support logistics for field experiences (invoicing, coordination)
- Serve as first point of contact (phone, email, in\-person)
- Oversees and triages email from email and email
- Respond warmly and triage inquiries appropriately
- Be back\-up support for school tours using established processes
- Coordinate communication follow\-ups as needed
- Assist with light social media posting (as directed)
- Receive and process checks (operational \+ fundraising)
- Track donations and assist with donor acknowledgments
- Prepare thank\-you and tax letters
- Support grant submissions and documentation
- Assist with volunteer coordination for events
- Serve as point of contact for basic student needs (calls home, minor support)
- Assist with basic health needs (non\-clinical)
- Support a calm and welcoming school environment
- Coordinates community council activities and volunteer opportunities
- Tracks volunteer hours
- Schedule volunteers
- Uphold confidentiality and exercise sound judgment in all communications.
- Collaborate closely with the Westlawn leadership team and faculty.
- Demonstrate flexibility, initiative, and attention to detail.
- Be a proactive presence on campus and in our school community.
- This role is essential to the daily rhythm of the school. The right person will bring calm, consistency, and reliability to operations, allowing teachers and leadership to focus on students and learning.
