Role

As an Operations Coordinator at Couplepreneurs®, you’ll lead and support various operational and administrative tasks, ensuring the company runs with clarity and consistency as we grow. Your goal is to help turn vision into systems, align each department with measurable outcomes, and provide structure that drives growth.

Responsibilities

Systematizing Operations:

  • Create and update systems and processes across departments
  • Establish KPI frameworks that make performance visible, actionable, and accountable
  • Build dashboards that provide real\-time visibility into execution across all departments
  • Coordinate with vendors to ensure projects run smoothly and efficiently
  • Client Delivery Operations:

  • Assist with onboarding / off\-boarding clients
  • Sending out and scheduling regular client email broadcasts in High Level (call reminders, call recordings, client calendars, and other client communications)
  • Keeping client records up\-to\-date, and inputting any important client dates (such as birthdays and anniversaries) into Airtable
  • Sending cards and gifts to clients
  • Consistently collect and organize client wins \& testimonials
  • Assist with posting and responding to clients in Slack
  • Marketing Operations:

  • Distributing content to our social media platforms
  • Support with sending out email broadcasts in High Level
  • Support with sending out text broadcasts
  • Researching and contacting people for potential PR placements, podcast guesting and speaking opportunities
  • Other Administrative Responsibilities:

  • Manage the professional calendar of the company founders, monitoring upcoming appointments and events and handling scheduling as necessary
  • Manage the email inbox of the company founders, keeping it organized and handling all email correspondence
  • Plan event logistics and coordinate with event venues and speakers
  • Monitor billings and own the payment collections process
  • Basic bookkeeping and keeping financial records up to date
  • Requirements

  • 2\-3 years of experience in an operational or administrative assistant role
  • 2\+ years of experience in online business or the digital marketing space
  • 2\+ years of customer service experience
  • Can proficiently use and navigate Google Suite
  • Experience with Slack, Airtable, and High Level preferred
  • Excellent communication skills, both written and verbal
  • A problem solver who is resourceful in finding the answers to questions on their own
  • Excellent time management, and has the ability to prioritize tasks effectively
  • Highly organized and detail\-oriented
  • Has demonstrable organizational skills, and knows how to own putting systems and processes in place
  • Availability between 9am and 5pm eastern time preferred, though hours are flexible

  • Schedule

  • Part\-time to start, with the goal of moving to full\-time within 3\-6 months from start date.
  • Must be available during regular business hours Monday\-Friday, though hours are flexible.
  • Must be flexible and able to work additional hours or weekends before / after events if the situation warrants it.

  • Remote, with preference given to those in the state of Florida for occasional in\-person events.
  • Job Type: Part\-time

    Pay: $20\.00 \- $25\.00 per hour
