ABOUT H\&H MACHINING CENTER

H\&H Machining Center, Inc. is an AS9100D\-certified, ITAR\-registered precision aerospace and defense manufacturer located in Valencia, California. For over 40 years we have produced close\-tolerance machined components for the Aerospace, Defense, and Medical industries — serving prime contractors and major OEMs across the supply chain. Our 10,000 sq ft facility runs 15 CNC machines holding tolerances to 0\.0002" on flight\-critical components.

ABOUT THIS ROLE

We are looking for an experienced, in\-office Office Manager / Shop Administrator to run the front office of a precision aerospace machine shop — end to end.

This is not an entry\-level role and it is not a support position. You will be the person who keeps everything moving: new jobs in the system, documentation packages built correctly, materials on order, invoices out the door, suppliers followed up, and customers taken care of.

This role touches every part of the business simultaneously — production, quality, purchasing, shipping, invoicing, HR, and customer relations. We need someone who can own that scope from Day 1\.

THIS IS A FULL\-TIME, ON\-SITE POSITION. We are not considering remote or hybrid applicants. Candidates in the Chatsworth / Valencia / Santa Clarita / Simi Valley area are strongly preferred.

WHAT YOU'LL DO

1\. JobBOSS ERP \& Job Administration

\- Enter new jobs: work orders, job numbers, customer PO data, part numbers, quantities, due dates, rev levels

\- Build complete traveler job packets before jobs reach the floor (drawings, material certs, process specs, routing sheets)

\- Track job status; identify missing or expired documentation before it becomes a floor problem

\- Maintain organized job files and document revision control for all active jobs

\- Coordinate OOR responses to aerospace prime customers — formal status reports on open jobs and delivery commitments

2\. First Article Inspection (FAI) \& Quality Documentation

\- Prepare AS9102 FAI forms — balloon/bubble markups, dimensional data entry, full document compilation

\- Assemble complete FAI packages: material certs, special process certs, dimensional reports, customer quality docs

\- Maintain calibration records; coordinate calibration instrument pickup and delivery

\- Support AS9100D document control — revisions, approvals, record retention

\- Handle C of C packages and customer quality document requests

3\. Purchasing \& Supplier Management

\- Source, purchase, and track raw materials (aluminum, stainless, titanium, Inconel, brass, specialty alloys) from the approved vendor list

\- Send RFQs to multiple suppliers simultaneously; compare pricing and lead times for management

\- Issue purchase orders in JobBOSS; follow up on all open POs

\- Request and track material COCs from suppliers

\- Coordinate outside processing: heat treat, anodize, plating

\- Coordinate CNC machine and equipment service calls; manage service requests to resolution

4\. Shipping, Invoicing \& Accounts Receivable

\- Build complete ship\-out packages: packing lists, C of Cs, customer labels, shipping labels — audit\-ready before parts leave the building

\- Coordinate UPS, FedEx, and freight shipments; provide tracking updates to customers

\- Generate and send customer invoices daily; follow up on overdue accounts

\- Manage accounts receivable: reconcile invoice reports, resolve payment discrepancies

\- Send sales quotes and respond to customer RFQ requests

\- Handle statement of account requests and customer portal uploads

5\. HR Administration \& Employee Services

\- Handle employee onboarding: hiring documents, job description letters, new hire packets

\- Manage employee scheduling: holiday calendars, work schedule letters, end\-of\-year schedules

\- Prepare termination notices, exit documentation, benefit termination checklists

\- Handle disciplinary documentation when directed by management

\- Liaise with HR advisor and payroll provider on benefits and compliance matters

\- Manage Cal/OSHA compliance documentation and safety supply ordering

6\. Customer Relations, Office Management \& Communications

\- Answer phones — you are the first voice customers, vendors, and visitors hear

\- Manage ongoing relationships with key contacts across multiple aerospace prime accounts

\- Handle AOG urgent escalations — fast\-track coordination across purchasing, production, and shipping

\- Send customer satisfaction surveys and manage responses

\- Coordinate customer appreciation activities (holiday gifts, cards)

\- Manage insurance claims for equipment and facility incidents

\- Order office and facility supplies

\- Use AI\-assisted tools (Claude) for documentation auditing and workflow streamlining

REQUIREMENTS — YOU MUST HAVE THESE TO BE CONSIDERED

\- JobBOSS ERP experience (minimum 3 years of daily use) — job entry, work orders, POs, invoicing

\- Prior experience in a CNC machine shop, precision machining, or aerospace manufacturing environment

\- Demonstrated experience building and sending ship\-out documentation packages

\- Experience with material purchasing and supplier management

\- Professional written and verbal communication — you will be the face of H\&H to aerospace prime customers

\- Reliable full\-time on\-site presence in Valencia, CA

STRONGLY PREFERRED

\- AS9102 First Article Inspection form experience

\- AS9100D quality management system familiarity

\- HR administration: onboarding, employee scheduling, terminations

\- Experience reading engineering drawings and material specifications

\- QuickBooks or similar invoicing/accounting software

\- Calibration record management experience

\- Experience managing outside processing vendors (heat treat, anodize, plating)

\- Claude AI — for document auditing and workflow automation

COMPENSATION \& BENEFITS

\- $28\.00–$33\.00 per hour, depending on experience

\- Monday–Friday, Day Shift

\- Full\-Time, Permanent
