Job Summary
We are seeking a dynamic and organized Part\-Time Front Desk \& Administrative Assistant to join our team! Duties
- Greet visitors warmly, manage check\-in procedures, and direct them appropriately, ensuring a welcoming and professional client experience from arrival to departure
- Answer multiple phone lines using multi\-line phone systems with professionalism and courtesy
- Maintain organized files, data entry logs, and accurate record\-keeping using filing systems and digital tools
- Manage calendar appointments, schedule meetings, and coordinate events with attention to detail, including confirming appointments and sending reminders when needed
- Assist with office management tasks such as ordering supplies, maintaining office equipment, and ensuring cleanliness, and supporting overall day\-to\-day office operations
- Provide excellent customer service support via phone, email, and in person, demonstrating strong phone etiquette and communication skills
- Assist with coordinating and supporting in\-person events (including evening and weekend events), including setup, breakdown, and client engagement during events
- Complete notary training and become a commissioned Notary Public (training funded by the firm), and assist with notarizations as part of client signings
- Make outbound calls to follow up with prospective and existing clients, assist with scheduling, and support client communication workflows
- Perform general administrative support tasks as needed to support attorneys and staff
- Proven experience with front desk operations and office management
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook)
- Excellent organizational skills with the ability to prioritize tasks efficiently
- Reliable, dependable, and consistent in attendance and follow\-through
- Personable and client\-focused, with a natural ability to connect with people and create a positive experience
- Bilingual abilities (Spanish preferred) are a plus for serving diverse clients and visitors
- Experience with data entry, proofreading, filing, and general clerical duties
- Knowledge of multi\-line phone systems and customer support best practices
- Ability to handle sensitive information discreetly with high levels of professionalism
- Strong time management skills with the ability to multitask effectively in a fast\-paced environment
