We are seeking a proactive and detail\-oriented Mail Clerk to join our dynamic office team! In this vital role, you will manage all incoming and outgoing mail and packages, ensuring timely and accurate delivery within the organization. Your organizational skills and attention to detail will help streamline our communication flow, support office operations, and enhance overall efficiency. This position offers an exciting opportunity for someone with strong clerical and office management experience who thrives in a fast\-paced environment. All roles are paid positions, including internships.

Duties

  • Sort, distribute, and process incoming mail, packages, and courier deliveries promptly and accurately
  • Prepare outgoing mail by affixing postage, packaging items securely, and completing necessary documentation
  • Maintain organized mailing supplies inventory and coordinate with vendors for replenishments
  • Operate multi\-line phone systems to handle inquiries related to mail services or direct calls appropriately
  • Assist with front desk responsibilities such as greeting visitors, managing visitor logs, and providing excellent customer service
  • Utilize computer skills to update mailing records using software such as QuickBooks, Google Workspace, or Microsoft Office
  • Support office management tasks including filing, data entry, proofreading documents, and calendar management
  • Skills

  • Strong organizational skills with the ability to prioritize tasks efficiently
  • Excellent phone etiquette and customer support skills for interacting with staff and visitors
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with office management systems such as QuickBooks or similar accounting software is a plus
  • Bilingual abilities are highly desirable to assist diverse staff and visitors effectively
  • Demonstrated clerical experience including data entry, filing, proofreading, and document management
  • Knowledge of office equipment operation such as multi\-line phone systems, postage meters, scanners, and printers
  • Strong time management skills to handle multiple tasks simultaneously in a busy environment
  • Personal assistant or medical/dental receptionist experience is advantageous for supporting administrative functions
