Position Overview
Healthcare Service Partners is seeking an experienced Medical Practice Manager to oversee the operational, administrative, and financial management of a growing healthcare organization serving Southern California. This practice primarily provides Physician Assistants (PAs) and Nurse Practitioners (NPs) across multiple subspecialties, including surgical services and inpatient medicine.
The Practice Manager will play a key role in ensuring smooth day\-to\-day operations while supporting executive leadership with business analytics and administrative coordination. This position requires strong organizational skills, healthcare management experience, and the ability to manage multiple operational functions.
Key Responsibilities
Practice Operations
- Oversee daily operations of the medical practice and ensure efficient coordination of services across clinical locations.
- Support scheduling, staffing coordination, and operational workflow for providers and clinical teams.
- Manage employee onboarding, offboarding and HR compliance, including policies, documentation, and regulatory requirements.
- Lead recruitment and hiring processes for clinical and administrative staff.
- Maintain employee records and ensure adherence to healthcare employment regulations.
- Oversee payroll processing and maintain accurate bookkeeping and financial records
- Experience with Quickbooks is preferred.
- Assist with financial tracking, reporting, and budget monitoring.
- Process invoices, track payments, and reconcile accounts
- Review and manage provider and vendor contracts.
- Manage annual company insurance renewals
- Analyze operational and financial performance data.
- Prepare reports and insights to support leadership decision\-making.
- Identify opportunities for operational efficiency and growth.
- Develop and institute policies and procedures.
- Oversee insurance billing processes and claims submissions
- Coordinate with third\-party billing companies to ensure proper documentation
- Ensure compliance with payer requirements and healthcare billing regulations
- Provide administrative and operational support to company executives.
- Assist with strategic planning initiatives and special projects.
- Coordinate internal communications and organizational priorities.
- Previous experience as a medical practice manager or in healthcare operations management is preferred.
- Knowledge of HR compliance, payroll, and healthcare administrative processes.
- Experience managing contracts, bookkeeping, and operational workflows.
- Excellent organizational, communication, and leadership skills.
- Ability to manage multiple priorities and work independently.
- Experience supporting advanced practice providers (PAs and NPs).
- Background in multi\-specialty or surgical healthcare environments.
- Experience with business analytics or healthcare performance reporting.
- Combination of onsite work in Mission Viejo and Rancho Santa Margarita and remote administrative responsibilities.
