Responsibilities
- Prepare, review, and submit documentation accurately across multiple platforms, ensuring all deadlines are met.
- Manage incoming requests and correspondence via multi\-line phone systems and email, providing exceptional customer support.
- Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office.
- Assist with front desk duties, including greeting visitors, answering phones with professional etiquette, and directing inquiries appropriately.
- Support office management tasks such as calendar management, data entry, proofreading documents, and scheduling appointments.
- Collaborate with team members to ensure smooth office operations, including clerical tasks like filing and record keeping.
- Provide bilingual support when needed to assist diverse clients or team members effectively.
- Proven experience in office management or administrative roles with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with the ability to prioritize tasks efficiently.
- Strong typing skills and computer literacy to handle data entry and document proofreading accurately.
- Experience working in customer service environments with professional phone etiquette.
- Knowledge of QuickBooks or bookkeeping experience is a plus.
- Previous experience as a dental or medical receptionist or personal assistant is advantageous.
- Bilingual abilities are highly desirable to support diverse communications.
- Familiarity with multi\-line phone systems, calendar management, filing systems, and office equipment such as front desk tools.
