Job Description

This is a full\-time, on\-site role for a Front Office Receptionist. We are looking for an educated, self\-motivated individual to join our small, family\-run law office. This person will be a point\-of\-contact for the firm in addition to providing administrative support to the attorney/staff to ensure the smooth operations of the office. This role requires someone who can confidently and courteously interact with clients, maintaining the highest standards of professionalism at all times. The ideal candidate will have prior experience in a high\-level customer service environment and a proven ability to communicate effectively, manage sensitive matters with discretion, and represent our office with excellence. This role requires an individual who consistently upholds a professional image and carries themselves with confidence and discretion. Candidates without relevant professional experience will not be considered.

Responsibilities:

  • Answering and directing multi\-line phone
  • Extensive interaction with clients
  • Client intake
  • Calendar management (Outlook experience required)
  • Scanning, copying and filing
  • Sorting incoming/outgoing mail
  • Preparing documents for upcoming appointments
  • Inputting and maintaining client database with accuracy
  • Invoice and billing
  • General office duties
  • Qualifications:

  • Experience working as a receptionist or administrative assistant
  • Experience handling multi\-line phone system
  • Excellent phone etiquette and communication skills
  • Experience in customer service
  • Ability to multitask and maintain accuracy
  • Superb interpersonal skills and professional demeanor
  • Attention to detail
  • Strong organizational skills
  • Excellent grammar and spelling skills
  • Legal Experience highly preferred
  • Minimum Requirements:

  • Strong word processing skills required
  • Advanced Word, and Outlook (including calendar) skills required
  • 2 years of administrative office experience required
  • Full\-time in office (Not eligible for remote work.)

    Monday \- Friday (No nights. No overtime.)
