We are seeking a highly organized, proactive, and detail\-oriented Executive Assistant to support the CEO/Owner and provide shared administrative support to additional executives as needed. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast\-paced environment.
The ideal candidate is a self\-starter who anticipates needs, streamline operations, and ensures executives can focus on high\-impact work. Duties and Responsibilities:
- Meeting \& Communication Management
- Schedule and coordinate internal and external meetings.
- Prepare meeting agendas, materials, and follow\-up summaries.
- Track action items and ensure timely completion.
- Serve as a liaison between executives, clients, and internal teams.
- Administrative \& Operational Support
- Organize and track purchases, expenses, and receipts.
- Assist with budgeting support and expense reporting.
- Maintain organized digital filing systems and records.
- Support light HR administrative functions (review coordination, document tracking, etc.) Event \& Conference Coordination
- Research and register executives for conferences and industry events.
- Coordinate logistics including travel, accommodations, and schedules.
- Prepare briefing materials for events and speaking engagements.
- Provide administrative support to additional executives as needed.
- Balance competing priorities across multiple stakeholders.
- Ensure consistency and professionalism in all executive communications.
- 3\+ years of experience as an Executive Assistant or similar role (supporting senior leadership preferred)
- Exceptional written and verbal communication skills
- Strong organizational and time management abilities
- High level of discretion and professionalism
- Ability to multitask and adapt in a dynamic environment
- Proficiency with tools such as Google Workspace, Microsoft Office, calendar tools, and communication platforms
