Position Summary
The Programs Assistant serves as the first point of contact for residents, families, visitors, and staff, providing excellent customer service in a professional and compassionate manner. This position is responsible for schedule development, managing the front desk, answering phones, greeting guests, and providing administrative support to ensure smooth daily operations of Programs.

Duties and Responsibilities
· Greet and welcome residents, visitors, and staff in a warm and professional manner.
· Foster positive relationships with residents, their families, and the broader residential community using emotionally intelligent communication skills.
· Answer incoming phone calls, direct inquiries, and take accurate messages.
· Manage visitor sign\-in and security procedures to ensure safety protocols are followed.
· Receive, sort, and distribute mail, packages, and deliveries.
· Take minutes for designated meetings as requested by management.
· Maintain a clean and organized reception area.
· Must exhibit a calm and rational response during crisis and emergency situations.
· Maintain provider background files, verifying current with every resident service. \[JH1]
· Development of care team schedules in Paylocity. Update shift assignment sheets in coordination with managers.
· Assist residents and families with questions and provide information about the facility, including coordination, post family pick up and drop off with care manager \& coordinators.
· Provide general administrative support such as filing, data entry, copying, and scanning.
· Collaborate with other departments to ensure resident needs are met.
· Uphold confidentiality and comply with HIPAA regulations.
· Run reports on resident attendance, verify with management, and send to accounting.

Required:
· High school diploma or equivalent.
· 1\+ year experience with Paylocity Shift Management.
Preferred:
· Administrative experience in a healthcare environment
· Excellent telephone skills
· Excellent interpersonal skills
· Ability to maintain confidentiality when required and exercise good judgment and discretion interactions
· Accurate typing and computer skills
· Ability to speak, read and write English
· Fluency in Spanish is a plus
