Summary/Objective
The Finance Assistant provides administrative and operational support to the Finance Team, with a focus on regulatory compliance, reporting, and accurate recordkeeping. This role is responsible for coordinating filings, maintaining equipment and fleet documentation, and supporting financial and administrative processes across departments. The position requires strong attention to detail, organization, and the ability to manage multiple deadlines in a fast\-paced environment. This is an onsite, temporary position through November 2026\.
Essential Functions
- Prepare and file Department of Transportation (DOT) reports in compliance with regulatory requirements
- File Heavy Highway Use Tax (Form 2290\) and maintain supporting documentation
- Update, maintain, and submit fleet registration records to the Department of Motor Vehicles (DMV)
- File quarterly driver lists with the company’s insurance provider
- Coordinate additions and removals of equipment on insurance policies
- Track and manage company equipment within internal software systems
- Maintain and organize equipment titles and related records
- Provide clerical and administrative support, including preparing reports and communicating with external agencies (e.g., public utilities, environmental agencies, permitting offices, and third\-party vendors)
- Monitor and maintain awareness of applicable regulations and company activities to ensure compliance
- Assist with other administrative and finance\-related duties as assigned Invoice Processing: Review, verify, and process invoices to ensure they match purchase orders and receipts, avoiding duplicate or unauthorized payments.
- Payment Management: Schedule and execute payments through checks, ACH, or wire transfers, ensuring that all payments are made within agreed time frames to maintain vendor trust.
- Reconciliation: Reconcile accounts payable reports and vendor statements to ensure accuracy and resolve any discrepancies.
- Proficiency in Microsoft Office Suite, particularly Excel and Word
- Strong data entry skills with a high level of accuracy (including ten\-key)
- Solid analytical and problem\-solving abilities
- Ability to work independently and manage tasks through completion
- Effective and professional written and verbal communication skills
- High level of integrity and ability to handle confidential information
- Strong organizational skills and attention to detail
- High school diploma or GED required
- Minimum of two (2\) years of experience in an administrative or clerical support role
- Experience working with AS400 or similar enterprise systems

Work Environment
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and scanners.
Physical Demands
This is primarily a sedentary role; however, occasional filing and document handling is required. The employee may need to lift files, open filing cabinets, and bend or stand as necessary.
