Position Summary:
To be an extension of the Corporate Office and perform a wide range of administrative and office support duties for the department, managers/supervisors, and executive staff to facilitate the efficient operation of the company/organization while maintaining the professional behavior of the company’s Essence Core Values.
Essential Functions (including but not limited to):
1\. Ensure day\-to\-day operations align with organizational objectives.
2\. Assists with supervisor of staff as directed by owner.
3\. Schedules and directs work of technicians as needed.
4\. Prepare, process, track, file, and scan all sales paperwork/job files from start to finish to include but not limited to: New job folders, Lead/sales/appt results, Install/Detail/Service documents
5\. Permit process of application, municipality updates, check requests, inspections
6\. Reviews, updates, audits Daily Activity Report
7\. Processes incoming service calls and schedules accordingly
8\. Follow up on outstanding payments
9\. Cash Management of all customer payments via credit card, check, cash, and digital payment platforms
10\. Maintains CRM uploads for paperwork and job pictures
11\. Responsible for the update/maintenance of various reports on a daily/weekly basis to include but not limited to: Monthly Payment Log, All location installer, Permit Reports
12\. Draft company documents as needed
13\. FedEx Shipments (internal/external)
14\. Assist owner as needed.
15\. Order and maintain office supplies such as stationery, break room, basic office and equipment needs while staying within budget
16\. Regular attendance is a necessary function of the position
17\. Performs other job\-related duties as assigned to meet the needs of the business/company
Secondary Functions:
· Proficient in reading, writing, and using the English language
· Demonstrate competency with computers and other electronic office/business equipment
· Must have working knowledge of Microsoft Office Suite
· Must have excellent data entry, organizational, customer service, written and verbal communication skills
· Ensures all office equipment within the department is operating properly, including replacing toner/cartridges or filling with paper, performs basic office functions as necessary
· Follow all company policies and procedures as well as adhere to the company confidentiality agreement
· Complies with all safety policies and procedures
Skills/Physical Abilities/Demands:
· Must have the ability to multi\-task, be detail oriented, and perform duties in a timely manner
· Must be trainable, self\-motivated, flexible, and can work with minimal supervision
· Must have the ability to sit for extended periods of time while viewing a computer screen
Educational and Other Requirements:
High School Diploma or General Education Degree (GED); or related experience and/or training; or equivalent combination of education and experience. Must be at least twenty\-one (21\) years of age. Experience in the plumbing, HVAC, or related home services industry is preferred. Familiarity with service scheduling, work orders, permits, parts coordination, and technician support is a plus.
