Job Summary
Our Interior Design firm is seeking a highly organized, detail\-oriented Project Coordinator to join our dynamic team. This is a support\-focused, administrative\-heavy role providing essential assistance to our senior project management and design teams. Daily tasks will involve data entry, scheduling, tracking orders, preparing paperwork, and handling logistics that keep our projects running smoothly.
Key Responsibilities
Administrative \& Scheduling Support
- Schedule and coordinate meetings with clients, trade partners, and internal teams—particularly for window covering measurements and on\-site furniture and accessory installs.
- Maintain project calendars and ensure all parties are informed of key deadlines and appointments.
- Prepare, organize, and file project paperwork and notes.
- Coordinate sample runs to and from trade partners and the Denver Design Center.
- Pull fabric and finish samples as requested by the design team.
- Track CFAs (cuttings for approval) and manage timely returns of samples to vendors.
- Assist with furnishings and accessory procurement.
- Enter product selections, pricing, and order statuses into internal tracking systems.
- Monitor the progress of orders and flag any delays or discrepancies.
- Assist with furniture and accessory installations on\-site.
- Support senior project management by coordinating communication between partners, clients, and the design team.
- Provide hands\-on support during installs for smooth execution and quality control.
- Act as a liaison with the receiving warehouse in Denver.
- Manage the receipt and inspection process for furnishings and accessories.
- Coordinate white\-glove deliveries and installations with clients and delivery teams.
- 2\+ years in an administrative, project coordination, or assistant role (interior design or home furnishings industry experience preferred).
- Strong clerical and organizational skills with comfort using spreadsheets and tracking systems.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word); experience with project management software a plus.
- Excellent written and verbal communication skills.
- Ability to multitask and adapt in a fast\-paced environment.
- Professional demeanor; valid driver’s license and reliable transportation for local errands.
