Duties

  • Greet clients, directing them appropriately with professionalism and warmth
  • Maintain organized filing systems, both physical and digital, ensuring easy access to important documents
  • Perform data entry tasks accurately using Google Workspace, and specialized software such as QuickBooks for internal bookkeeping purposes
  • Support office management activities including calendar management, appointment scheduling, and coordinating meetings
  • Assist with clerical duties such as printing/scanning/copying documents
  • Adhere to a monthly schedule, preparing correspondence, and managing task assignment when necessary
  • Provide exceptional customer service support by addressing inquiries promptly and professionally in person or via phone/email
  • Support personal assistant responsibilities by managing schedules, planning team building events, travel arrangements, and other executive support needs
  • Uphold confidentiality, ethics and a high standard of personal conduct
  • Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks for bookkeeping
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
  • Demonstrated experience in office management or administrative roles with a focus on clerical excellence and team synchronicity
  • Exceptional phone and email etiquette
  • Skilled in data entry, filing systems and proofreading documents
  • Proven excellence in maintaining accurate records and managing calendars and schedules
  • Knowledge of customer service best practices to support positive interactions with clients
  • Ability to multitask efficiently while maintaining attention to detail during busy periods
  • Ability to see the big picture and taking initiative to provide relief and a sense of ease
  • Strong time management skills to meet deadlines consistently
